0:00 This is a first look at our new proposals at Check Cherry. Um, we historically have just one proposal theme and it kind of matches your colors and you can change some images and of course your packages and all that stuff. Um, but over the years consistent feedback from customers has been, hey, can I get a different look and feel basically for different customer profiles?
0:19 There's lots of reasons you'd want to do this. Um, and we know that customers uh, you know, really appreciate proposals. It's really important to to close sales, all that stuff. And um we've taken a couple of stabs at it um I would say over the years and never really loved where it landed, but I really I like where we landed on this one. So we're curious to see what you guys think. Uh
0:39 Matt usually drives and I usually, you know, monitor the chats and that and questions and that stuff and kind of do that. So um Matt, I think we're kind of covering with I know a lot of people are going to know this, but just the basics of what a proposal is in checker. I think that's worth uh you know, kind of discussing um and we'll kind of go from there. So yeah,
0:56 absolutely. For anybody that's completely new to Check Cherry, um we tend to do in the webinars a mix of of you know digging into features. Um when we have new changes a lot of times, you know, if there if they're larger changes, we'll do a webinar to go along with it, kind of explain our thinking and and get people up to date. Um, if you're completely new to Check Cherry,
1:17 um, it might be worth checking out last uh, two weeks ago a ago's webinar when we did um, just a very introductory um, one, which is I guess we called it switching is easier than you think, but that kind of has a more um, more of a geared. Yeah. So, this is going to be specifically focused on proposals. Um, and to just give a little bit of background about what proposals are for,
1:42 um, there's two main ways that people sell and check Cherry. Uh, some people do online booking, but a lot of people do what are called more of a proposal workflow. And with that, that's where you typically um collect some information upfront, maybe via lead form, maybe people call you, email, however you want to collect that information, and you create a proposal, which is just a custom
2:05 offer for somebody, and send that over to them. So, to create a proposal, it's really easy. You click the create new button in the very top right, and say this get a signature proposal button here. Um, you can choose a package. Most of the fields are are, you know, not necessarily required, but dates, times, add-ons, um, you know, if you know the customer, great, you can put
2:27 them in there. If you know the venue, great. If not, it'll get collected. And, um, and you can create that proposal. And typically, the next step would be to send that to the customer. You know, maybe you want to make some more tweaks to the pricing or change what this this proposal has. Um, but once you're ready, you would send that to the customer, put their email in,
2:51 um, customize the message if you want, and then hit send. Once they do that, they're going to come to a page that's real similar to this preview that you can see. And so, if I click the preview, I can get a view of what the customer is going to um, be able to look at on their end. And so it's going to have, you know, some kind of a title or mast head, usually a little bit about it, when
3:13 it's going to be, the venue, package details, um, all that type of stuff. When they accept and sign, you can have additional questions if you want. Um, completely optional. Most, uh, by default, the account won't have any other questions, but if there's something else that you absolutely want to collect, you can you can do so. And then they're going to accept and sign. And so what that
3:35 typically means is pay your deposit. You can do things like payment plans and you know pay in full and all that type of stuff if you want. Um we'll confirm their name and email all that. And we'll have them sign your contract. And so this contract is going to have your things like um you know any cancellation policy, payment terms, all that type of stuff. So once they do that, you know,
3:58 they enter their name, their email, their phone, they sign, pay that deposit. Now you've got a confirm booking. And so proposals give you a lot of flexibility because you're crafting them for an individual person. You can override the pricing. You can override what the package includes. Um you know, you can add things to it. And you can even give different alternatives. So, with proposals,
4:21 you can do things like multi-day uh proposals where you say, "Hey, this one has two packages or it has a wedding and a DJ or it has the same package but on two different days." You can also do what are called proposal alternatives. And with alternatives, that's where you give a customer two different options. So, maybe somebody reaches out, they're kind of vague about what they want. You
4:45 know, they're like, "Oh, can you give me a couple of options?" Well, with a proposal alternative, you can do just that. You can say, "Okay, you know, choose between the the basic package and in this case, you know, something else." So, give them two alternatives and they can pick whichever works best for them. Um, so that's kind of the high level of of how proposals work. Um, and the
5:08 new feature that we're adding today or that we're kind of revisiting is um the notion of like how these proposals look and work for clients. So, um, so let's look at, so what we're launching today or I guess tomorrow is, uh, some different themes. And so when we say theme, um, we're calling, we're renaming the original proposal. Uh, we're going to call this the classic theme. And that's going
5:35 to continue to look the same as it always has. Um, if you just create a new proposal tomorrow, it's going to look the same as it did before. It's going to pull in your colors, map of the venue, you know, your package imagery. Um, there are some new sections that we're going to go over a little bit later, and these new sections will apply even to the classic themes. Um, so we'll
5:53 come back to some of these a little bit later. Um, and then we've got a few different themes um to go along with it. So, the next one is uh we're calling it Tuskcen. Um, but basically it's kind of a um little bit lighter colors uh more of a um you know browns and yellows and and things like that. And so just kind of uh different look and feel, you know, a little bit more um maybe a
6:22 little higherend than our classic one, a little bit more stylized. Um and so with these again, it's going to have the same basic information. You know, your package, your event details, where it's at. This one doesn't pull in a map of the venue. Um, it's going to pull in big imagery for your packages. Big mast head there. If you assign your team, you know, that's going to show up. You know,
6:44 nice about section if that's something you want to use. Um, we'll come back to the featured gallery a bit later. Testimonials. Um, a popular thing we've gotten is that people want to call this instead of um I think on the defa on the classic we call it what do we say the numbers or something or the math or something. Uh, a common word that people use is investment. So, we're we're kind
7:05 of relabeling it on on some of these themes to to investment or terms like that. [clears throat] And then you can have additional notes as well. Um the second new theme we've got is calling called luxury. And this one's a bit of a darker theme. Um little bit higherend. Um you know, good for like more of maybe maybe a like a high-end corporate event or something like that.
7:32 And with all of these different themes, um, functionally they support the same thing. So they're going to support proposal alternatives. You know, if you want to give them a couple of alternatives, you can continue to do so. And when they choose that alternative, they'll be able to see all those details. So, um, looks like something's getting cut [clears throat] off there
7:50 to so something for me to look at tomorrow. [laughter] Um, but we'll be able to pull in, you know, big uh, you know, uh, map or uh, images from the venue from your uh, venue packaging. We'll look at that later. If you do things like um, add-ons, backdrops, that'll show up. Um, again, your team um, about galleries, stuff like that. Tom asked, "Is there any way to stop that

Usually we only have like 20 [laughter] million so it's just a bigger one but um it's annoying me too. Totally. [laughter] Yeah, if you find a way that would be uh I know. Well, I looked into it. I was around and whatever. I don't know. Got figure it out. But anyway,
8:37 so yep. Sorry. Um and then some final notes as well. So next theme what we're calling mist. And this is probably a more of a lighter theme used for things like maybe a wedding or something with um you know if your brand is kind of less you know little bit more minimalist lots of white space things like that um this mist theme might be good for that. And basically lots of white,
9:07 you know, will just pull in your images. Very very light, very uh not a lot of color. Um just kind of very minimal. Got one called How? There's five of them, right? Five new ones. So six five new ones. Yep. So two more to go through and we'll just do a quick tour of them and then we'll go into some of the features. So and I got questions here already piling up. So we got this
9:31 one called Vineyard. more of uh you know again just to kind of give some different options. Um this might be good. You know it's a little little bit aimed at wineries but you know you might have um you know if you like the styling this might be a good one and kind of pulls the um the pricing off to the right. So makes it a little bit easier to see for um for more
9:53 complicated bookings. Um we'll go through this one and then we've got the last one. Midnight Pulse is a much darker theme. So, this is kind of more like your um you know, late night, very dark uh maybe for like a DJ package or something a little bit more um you know, darker colors and just kind of pull in, you know, more dark imagery with a little bit of uh little bit of a glow to it.
10:25 And as you go through, you know, if I click accept and sign, it's going to keep that same um styling and imagery all the way through. So, all the way through to the the um the booking process or to the uh the final step. Um that's going to apply to things like, you know, when they're collecting the venue and and stuff like that as well. Um if you have them pick a backdrop, if you go over to the
10:46 add-ons page, um we're going to try to keep the uh the styling, you know, um consistent with that as well. So, um, so those are the themes. Um, I can jump into how to change the question. Let's just knock some of these out. So, Ron and Ron and Tom are annoyed by the door doorbell chime as are all of us. Okay. So, Sean says, "Can't sh see your shared screen." Sean, I'm not sure. I can see it
11:10 fine. Um, and then Rick says, "Are we ever going to be able to assign different staff for events that cover different times? We have multiple packages going out the same day overlapping." So, um, nothing to announce, uh, today, Rick. Um, but we know that that's something you guys are looking for. It just turns out to be a lot harder of a problem to solve with the systems architecture
11:30 than you would imagine. But totally get it. Uh, Gerald says, "For the record, I like the current proposals, and I do too, by the way. And they got us a long way." I mean, that's been a long time, and we've seen a lot of business close with those proposals. There's nothing wrong with them. A lot of customers wanted something for more wedding and more corporate and I think it works

But yeah, and I think people want something that matches their brand, you know, if they have a very light, you know, wedding theme, light colors, you know, um or if they have more of a dark theme, you know, their website's a dark theme. I [clears throat] think that's the other thing, you know, if if your website and your branding matches something. Uh my guess is for a lot of people,
12:11 you know, you just pick your favorite and use all, you know, you don't necessarily need to have a lot of different options, you know, um maybe for, you know, maybe have a couple things that you use, but my guess is most people will rely on one or two of them. Yeah. Uh Eric says, "How do we ask extra questions after accepting a proposal like weddings, uh blah blah blah that you know,
12:30 you can do it. Um you guys chat with us anytime on the support stuff. You don't need to wait for a webinar on this. We we'd be happy to help you. Um, if we have time, we can kind of go over how the extra questions work. I'm not sure if that made the uh the agenda, but you can do that. Um, Julia wants to know where the testimonials reviews pull from. Where do we find the themes themselves? So,
12:49 I guess we can kind of hop through. Yeah, let's get into some of the the the details of how this works. And Rick, no, you can't create your own themes. Maybe someday, but no, not right now. And the thing with uh with the custom themes, you know, with one of our our initial stabs was to make it fully customizable. You could do everything. And the problem with that is
13:09 just making something that actually looks nice for add-ons and backdrops and venue and alternatives and everything um ends up just, you know, it just didn't seem too feasible. You would you'd be working on it for for days trying to get something that looked nice. So, um, so if you know, if there's an area or an idea that that you have, um, that, you know, that doesn't that we didn't cover,
13:32 um, you know, I don't think that five is the number we'll always have. You know, we're we're certain certainly open to additional, um, ideas down the road. So, um, but let's talk about changing the theme. So, when you're looking at one of these proposal themes, um, you'll see in the top right, you know, we've always had this change, this manage proposal button,
13:51 but we've added this new quick link or quick button here to quickly change the cover photo and theme. [clears throat] And so, what you can do there is click that and see all of the different themes that are available. And they've got preview so you can get an idea of what some of those look like. Um, switch between them. Um, obviously this is going to use our sample branding. So, you know,
14:13 you want want to uh you know, um, it's going to, you know, your your company will have your own your own brand, your own colors, all that type of stuff. Um, but you can see the different themes, choose one, and switch between them there. And then the other thing you can do on that is uh change the cover image. So, you can upload a file, you can choose from your media library,
14:35 you can remove the file and just use a default image. Um, but once you change something, you know, if I change this to uh luxury and hit save, then once we go back to that previous page, um, it's going to be on on that new theme. So, there were several questions about that. So, absolutely, you can change that top image just like the other one. I mean, it's they they work really similar to
15:00 how the previous proposals work. It's just kind of got a different, you know, paint job, so to speak, so it looks a little bit different. Yeah. Yep. And so basically it's still that same concept. Change cover, photo, and theme. We've got them on the same page, but you can change um you can change them both on the on the same page. Choose, you know, choose whatever you want. Um we've also
15:23 and so that's kind of the the basic of manually changing it. Um we've also got a new settings new settings page under the business settings. So, if we go to manage business settings and then proposals, this is a new item here. And we'll just kind of run through these one at a time. So, first thing you'll see are these proposal presets. And this is where you can um you know, at the
15:49 simplest you can change your default. You know, if you don't like the classic theme, if you want to do all uh dark theme, just choose that, hit save, and you're all set. um from you know from now on it's going to all use the the dark theme. Um you can also create additional presets. So if you want to use say you just want to use this mist one and you only want to use that on weddings um you can
16:18 do that. And if you want to add an image you can. We're just going to hit save for now. And what's going to happen is um basically what whichever one um matches that package is what we're going to show. So and you can j drag and drop to show to should change the uh priority if you want as well. Um but basically we'll prioritize you know the first one that m matches a package
16:41 um is the theme and cover photo that will apply. So um add as many as you want. Um, but kind of what we're trying to get away from. Previously, you could only set the cover image on uh on the service, which was kind of awkward if you had like a wedding. Yeah. And we didn't want to add it on every package. So, with this method, you can basically kind of come in and say, "Okay,
17:04 let me add this to um um you know, just my wedding packages or all of my wedding or all of my photo booth or however you want to do it." Um there will be a default in your account. Um, but then you can add um additional uh presets as well. Hey, want to know, can you launch this tonight? She has two proposals due. She loves the new themes. It's gonna help her close. Awesome. Um, unfortunately,
17:29 probably tomorrow. Um, because I need to roll out the the preset defaults and make sure that and then I got another one which is about the proposal views. You know, uh, I noticed that you can no longer see that area when you added a proposal alternative or multiple. That features help us know a lot about how often a client is viewing the proposal. Absolutely. So, u that's a good one.
17:49 I'm glad somebody asked that. So, historically, we showed the views all the way at the bottom of this um of the page here. And so, when we were coming up with these new alternatives, it's like, oh, like it didn't look good on some of them and you got to scroll down and you can't see. And so, basically, we just move that over to this tools that kind of has all the other dates and times.
18:10 And so now, um, over in this tools section, if you want to see if a proposal's been viewed, uh, you can just look for this viewed section. It'll say viewed, uh, you know, it'll have a time stamp and then you can just click that to show the the full history. Does it shows the history, right? Yeah. So, it's just we just moved it on you guys. You know, we can maybe, you know,
18:31 if it's a problem, find other ways to do it, but we know you guys like that and look at it. Um, yep. if it we just wanted to make it a little bit easier to get to so you didn't have to scroll all the way down and and uh go all the way to the bottom of the page. So, um I got more Cynthia Cynthia says, "Is this a is the theme more like a builder? I see photos in yours that I don't
18:52 have in mine." And says, "How do you how do you how do the proposal alternatives where where is it at?" So, it's not available right now in your account, Ron, if you're looking. I mean, I think that's one thing the Yeah, the alternatives are. So, a proposal alternative, it's going to show right below your package. Um, after you've created a proposal, you'll see this little button to add
19:11 another alternative. U, but the themes are not yet live. Those will be coming shortly. And so, let's go back into those settings because I think that'll answer some questions, too. So, um, so we had our presets. That's kind of where you can set your default cover image. We might add more stuff there. We're not sure. Next section here is this about section. And this is a chance
19:35 to share a little bit about your business and you know like what sets you guys apart, what makes you unique. And it's just a text edit. I mean, you can put stuff in here, you can put links, you can put images, all the all the normal stuff that you um can put in these fields. Um but basically, it's a chance to kind of sell, you know, what makes Forever Events, you know, better than
19:56 anyone else or special or different. Um, if you do have multiple brands in your account, you'll see one of the uh you'll see this section for each of your brands. So, we've got this fauxever events, but if I had another brand, I would see that under here as well. Um, you know, this about us section is probably something we'll roll into more areas as time goes on. Right now though, it just applies
20:18 to your proposals. We've also got this new section called trust indicators. Um, and what that is, um, I think it's helpful to go back to a a proposal here. So, so looking at this about us section, um, you know, we've got this about us text, you know, for 15 [clears throat] years, blah, blah, blah. Um, and then we've got some like fun stats here. 300 events hosted,
20:42 10,000 photos taken, 75 fivestar reviews. These are basically anything you want to add here. Um, and we've got a bunch of examples here. You know, years in business. Basically, it's a chance to kind of sell yourself again. Just little little tags, little little things you want to call out. You know, how many Google reviews you have, uh, you know, how many five star reviews,
21:02 whatever you want to call out. Um, again, these are just kind of some samples. Um, if there's things that you guys are looking for that we don't have, um, let us know. I'm sure, you know, chat with us. Yeah, just chat with us. Um, you can add additional. I think we show the first three. Um, so, um, yeah, I forget on I forget how many you get, but, um, I wouldn't add more than, you know,
21:27 more than a handful is is probably excessive. Next new section is this featured gallery. And so, uh, [clears throat] a common thing that we've gotten is that people want a way to share, um, projects that they've worked on, you know, things, uh, events you've done, um, you know, other more images than just the package image, right? Yeah. And again, so
21:53 this is going to be you can add these images, you know, pretty straightforward, you know, hit new, choose an image. You know, if you've already got it in your system, you can use reuse it. But um but you can upload a file uh you know, upload whatever file you want. And one of the things you can do that's helpful is you can limit these to certain packages. So, if you've got certain images
22:12 that you only want to show on, say, weddings or corporate or whatever it is, schools, um, feel free to limit that using that package. The package selectors everywhere in Cent Cherry. Yep. And feel free to play with dimensions. You know, if you want to do wide and tall, it's going to um, we've got this kind of what they call a masonry layout that's going to re, you know, automatically
22:33 restack things to try to make them uh, flow well. So feel free to play with different, you know, different image uh uh layout or uh aspect ratios and and things like that as well. And again, that's going to show up here on the proposal. Now, um you're going to have this featured gallery and they can click that, see the full-size version. Um so any, you know, any nicel looking photos
22:56 you have should should work well for that. Um, I would recommend these being like actually events, you know, photos from your events, not necessarily like stock photos, but but ultimately you can do you can do what you want there. Um, and then again, that's I imagine this is an area that will we'll be able to roll into new places and check cherry in the future, but right now this is
23:16 just for your proposals. Um, reviews. So reviews are also going to um show up under this section as well. And the review feature right now is very uh very manual. So you can type a a reviewer name, some content, you know, whatever that review is, copy and paste it from Google, copy and paste it from wherever. Uh how many stars, you know, hopefully five if you're listing it. Um what the
23:45 review date is, and if there's any private notes you want to add, you know, maybe a link to it or, you know, whatever. Just if you have something private you want to show, you can you can put it there. Um, and again, that's going to show up on your proposal overview page. Um, and we'll just have some some feedback, you know, when it was left. Um, showing the date can be helpful if you
24:06 get if you do get a lot of reviews. Uh, because basically it's a way to show that, you know, it's fresh activity, people are people are booking you, you know, things are things are happening, they're still happy, um, all that type of stuff. You mean my five star review from five years ago isn't as good as my five star review from last month? If it's five years old, uh I'd recommend
24:25 just leave the review date off. Yep. It's optional. So, um another thing on those reviews, you know, obviously this is something that can tie into a lot of places. Longer term, um it's highly likely we'll have a a review feature in check cherry. So, you know, maybe we can pull them in automatically from places. Maybe we can have a um you know, a feature in check cherry where they can
24:47 uh collect a review, things like that. But um again, we want to get this out, get it useful, and we'll we'll iterate on this as we go. Can we pause for questions because I got absolutely all kinds of stuff in here. So, Elizabeth likes it. She says, "Look, makes her look put together." Uh we answered the reviews. Where to get them? Um Rick, yes, you can select a default. Um we showed
25:08 that. Uh Lenanisha wants an alcohol calculator for her mobile bar business. We're aware. We think it'd be cool, too. She also loves the new uh the new timeline features and all that stuff. love the presets we put in the size dimensions for the image. Um to Stacy says that so I think that's worth probably covering. Um [clears throat] yeah so yeah let's go into actually let me go to
25:33 one other place first. Okay go ahead. Yeah let's come back to the the dimensions. So, um, the other feature that we've gotten a lot of, uh, requests for is that people want a way to, um, tie this like this mast head image, tie these like gallery images to a specific venue. Um, and you can do that now. So, or uh, a place or a venue, whatever you want to call it in in Czech,
26:01 we call them places, I guess. Um, but you'll notice uh when on that featured gallery, it says there's a tip here that you can also add stuff under places. And so to do that again, you can go to manage [clears throat] business settings and places. And you can search for one of your uh venues or places and edit it. And that's a long file name. Um, and there's a couple new
26:24 options now. One of them is to use this image as the proposal cover image. So, um, say you've got a real nice photo of of the mission in or whatever. You know, you do certain venues a lot. You want to have a custom photo for that. Um, you know, just upload it under that places section and check this box. And then when a new proposal is created using that venue or that venue is assigned to the
26:49 proposal, we'll automatically pull in that image. Um, so that's helpful for that. You'll also see this new box called gallery photos, and that's going to be another place to add photos specific to the um to the venue. So, if you've got certain photos that you only want to show at the Mission Inn or whatever, u feel free to add them. Um that's going to show up in the same featured
27:16 gallery, but those will be listed first, so they kind of have the highest priority. Um, and I think that was it with places. So, um, size dimensions. That's where we Yes. So, [clears throat] let's go back to changing these cover photos. These new layouts caused a problem with our sizes. So, the un the uh the original classic is unchanged. Um, one of the things so a lot of times people
27:44 will ask us like what dimensions should I use for an image? And it sounds like an easy question, but the thing with the with the web is um there can be a lot of different sizes. You know, the page is going to look different at like this versus this. Um when we go to our proposal, the image is going to be one, you know, size when it's this big. And when you scroll to this,
28:12 all of a sudden, a different image size is going to be used. If we try to use the same image for everything, it doesn't look good. It doesn't look modern. It doesn't look responsive. Um it just it looks clunky. And um and the reason for that is basically, you know, the web is the web. It's not a magazine. Um it's not pixel perfect. It's u more flexible. Um but one of the things that we're
28:34 we're experimenting with on this is basically um what we're calling uh crop versions. And we're only showing this in a couple places. Um, but the cover image is one of them. And if you click that, you'll see that there's a few different um, variants here. And so really what we care about on the web is not what the pixels are. You know, it's going to have to get resized based on
29:00 all kinds of different factors. What we care about is the aspect ratio. You know, is this a wide image? Is it extra wide? Is it square? Is it tall? And um and so that's we've kind of updated some of our terminology on on these um on these uploads to better reflect that. So instead of 1500 by 500 whatever we said which you know was a size that usually worked but it wasn't pixel
29:25 perfect [clears throat] now instead we're going to have um a few different variants and depending on the context we're going to use whichever one's most appropriate. So, if we have a mobile view, we'll probably fall to this square image so that we can show the the image nicely. Um, if it's wide, then it's going to be something like that. And then if it's super wide, it's going to be
29:45 something like that. We'll automatic I mean, you can upload a single image. We're going to resize it automatically. You don't need to to get in there and do that. Most of the time, most images are going to look nice. Um, I wouldn't recommend putting a ton of text on your images, but other than that, if you get a wide image, it's going to mostly look fine. Um, but get something with some,
30:03 you know, little bit of space and flexibility and then you don't have to worry about it. But if you really do want to get in there and dial it in, you can click that option and upload different crops for different variations. You know, you can come up with the square version that's exactly how you want it and upload that and that'll overwrite it. So, um, so hopefully that makes sense. Um,
30:22 I imagine we'll we'll have uh, you know, some more details on this as time goes on, but that's kind of the general idea is look at these aspect ratios, you know, and if they don't look good, you can um, you can come up with your own crop and and decide how you want to do that. Another place we're we're doing that now is on the packages. And so now, if I go to one of my packages, um,
30:46 we're going to have the same um, same thing here. When I go to edit one of these photos, by default, it's just going to show the same thing. It's always shown. But if I really need to go in and and have a few different variants, um you can you can do that. Um these aren't widely used yet, but they are used on the proposals. So when we need a square version of the of the image,
31:08 we're going to use it. If we need a tall version, we're going to use that. And so different themes, you know, some of the themes make could take advantage of a tall image on desktop, but they need something wider on on mobile and things like that. So, um, again, you know, try try your default image. It's probably fine, but if you get in there and and it's not, um, you you do
31:27 have some more options now for kind of customizing things a bit more. Yeah, I'm curious to see how this goes for people. It's more work.
