0:00 In this video, we're going to talk about setting up appointments. Appointments are how you take control of your schedule, avoid double bookings, and create a smooth, professional experience for your clients. Whether you're meeting to plan an event, run a consultation, or deliver a service, setting up appointments keeps your business flowing smoothly and your clients happy.
0:20 To get started, we're going to go to create new appointment. We're going to give this appointment a name. Let's give her an email, phone number, and any additional guests. Say Nancy wants to join in or even Bob. We'll give it a scheduled date. It's going to be for an hour. And you can choose either in person or phone. We're going to choose phone. And you can add any private notes
0:46 that you want to add. And you can either choose to send an automated message or to uncheck the box and not send one. We're going to go ahead and send one. You can choose which brand you want to associate it with. We're going to choose Forever Events. And you can add any kind of staff you want to be with you on the appointment as well. So, let's save that. And you'll see that it
1:07 makes you an appointment when the time is, what the date is, how long you've got left until the appointment. And you can manage the appointment from here and cancel or permanently delete it. Or you can convert to a lead or proposal from this appointment. You even have some quick send options for automated messages. And you'll see these options right here that you can go ahead and
1:31 send now or add to a review list or even show the template of the automated message. Now, if you wanted to see which appointments that you are associated with, you can go to your profile, go to my appointments, and you'll see all of the appointments that you're associated with. Now, if we go back to our profile tab and we go to appointment scheduling, you can make pre-made
1:54 appointments that you can share with clients to send them a link to set their own appointment. And you'll see that you can also integrate a Zoom account to run appointments on Zoom. Let's go into this pre-booking appointment to kind of go over what this template will look like. You've got your title for the appointment, the length of the appointment, how much time you need between
2:15 appointments. Let's say 45 minutes. a minimum notice that you need to schedule an appointment. This is how many days in advance you will allow an appointment to be scheduled. And you can prevent appointments during your assigned bookings or all bookings or none. And you can choose to meet in person, on the phone, or other. So you can choose all of these or just one. The invite will
2:42 call me or I will call the invitey. You can choose whichever one of these you'd like. And you'll see this is the invitation message they'll receive. And then here's the confirmation message they'll receive after creating the appointment. You can even change your availability for the booking. So say you uncheck this box, you can choose the days that you won't be available or if you have
3:06 certain hours that you're available for. Now, if we head back into our pre-booking appointment, you'll see that you have a scheduling link to your right. You can also send the client scheduling link for all appointments. Say if you have any specified appointments that you didn't really care which one they chose, but let's just click this down arrow. You can either embed
3:27 it in your website or share a link. Let's copy this link. And when a client goes to this link, they'll be met with this page right here where they can schedule an appointment for any day. And it will let you know if there are no available times for this day. So, let's go with July 12th, 4:30 p.m. And let's say we're meeting on the phone. And they can even add guests. Now, they'll
3:51 see that their appointment has been confirmed from there in your account. You'll see if you go to my appointments that Iris's appointment is right here. You can go into that appointment, see what time it is, what they scheduled for. Now, if you go to my appointments under your profile tab, you'll see all of the appointments that you were assigned to. But if you want to see all
4:14 appointments, go to sales appointments and you'll see all of the appointments that have been assigned to staff or to other admins of your page. Now, if you go to manage automated messages, go to other, you'll see that you have plenty of appointment automated messages to choose from and that are already built in. So, let's go to edit and see what's here. So this will send an email
4:43 when the date an appointment is created. It will send to the primary guest and additional guests. Uh it will send the replies to staff that are assigned to the appointment and it will tell who the appointment is with. And you can edit this any way you like. Add any values you'd like to add. Give it any tags to how you would want this categorized. You can also choose to
