Keep Your Team On Track With The Check Cherry App

A walkthrough of the Check Cherry app from the staff side, covering everything your team needs on event day. Learn how to find your bookings, check in and out of events, block off time you can't work, manage notifications, and take payments on site with Tap to Pay.

We're recording this with every staff permission turned on, so your screen might show less than ours. Grab the Check Cherry app from the App Store or Google Play and log in. Now, this is the dashboard.

0:22 Confirmed booking shows how many came in last week and how many are coming up next week. Staff scheduling shows confirmed bookings that still don't have anyone assigned. Proposals and leads are here because we have sales access turned on. Scroll down and you'll hit your everyday tools. Calendar shows your schedule. Checklist is where you check off tasks for your events. Check

0:45 availability lets you see if a date and time is open. Set time off and check in checkout are the two you'll use the most. To see your events, tap confirmed bookings. Your upcoming bookings show first. With see all bookings turned on, you'll see every confirmed booking on the calendar. Need a past event? Tap the down arrow in the upper right next to show all filters. Then tap past. The

1:09 filters also let you narrow things down by brand, package, status, and more. Tap set filters when you're done, or just type the client's name in the search bar at the top. Open a booking, and you'll see event details, the client's info, and the notes. If you have extended permissions, you'll also see pricing, add-ons, venue details, and private notes, and you can edit them. Now,

1:33 let's talk about check-in and checkout. This is the one you'll use every event. Your owner has to turn it on first. There are two ways to check in. If you're assigned to the booking, open it and you'll see a checkin card at the top with the event already filled in. Or tap checkin checkout right from your dashboard and pick the booking yourself. Before you check in,

1:54 you can add a note and attach photos. This is where you document the venue when you walk in, your setup, or any damage you find. Tap check in and your time starts. While you're checked in, you'll see two buttons: checkout and log status update. Log status update lets you add a note or more photos during the event without ending your shift. When you're packed up and leaving, tap

2:18 checkout. You can only be checked in one event at a time. If you forgot to check out last weekend, the app will show you which booking you're still on and since when. Owner sees every shift, your notes, your photos, and your hours. If a time is wrong, they can fix it on their end. Next, set time off. This is where you block out the days you can't work. Pick a start and end date.

2:41 Leave it all day or set specific hours, and add a reason. Depending on how your owner has it set up, it either takes effect right away or goes to them for approval. If it needs approval, you'll see it marked awaiting review until they approve or reject it. Either way, your owner sees those dates when they're assigning staff, so you don't get scheduled on a day you're off. Now, notifications.

3:06 To change them, open the menu in the top right and tap settings. Just know that if you narrow the list down, those are the only alerts you'll get from then on. If the toggle is grayed out, your phone is blocking Check Cherry. Now, the big one, taking a payment at the event. This is where extended permissions matters. Without it, you won't be able to see the balance on the booking,

3:27 so you can't collect the payment with it. Open the booking, tap the outstanding balance, then collect customer payment. If your company uses Check Cherry Payments, tap to pay is the first option on the list. Quick note for iPhone users. The first time Tap to Pay gets turned on, an owner or admin has to accept Apple's terms. If you see a message telling you to contact your

3:48 administrator, that's what it means. Once they accept, it's on for the whole team. Enter the amount, add a tip if the client wants one, and put in their email so the receipt sends on its own. Tap continue to tap and wait for ready for payment. On iPhone, the client holds their card, phone, or watch near the top of your phone. On Android, the card goes flat against the back of

4:11 your phone near the top. Have them hold it still until the screen confirms. Contactless cards work and so do Apple Pay, Google Pay, and Samsung Pay. Chip only cards won't, so send a payment link for those. If a PIN screen pops up, that's normal. On bigger amounts, hand them the phone. Once it goes through, you'll see the amount charged and you can view and share the receipt by text
