When you assign staff to a booking, we assume they'll be available to work it. However some companies like to add an extra "Accept" or "Reject" step for staff.
Turning it on
The setting applies to assignments made from that point on, so staff already on a booking are not suddenly asked to confirm.
What staff see
A staff member who opens a booking they have not responded to gets a highlighted card at the top reading You've been assigned to this booking, with Accept and Decline buttons. The same assignments are collected in an Assignments Awaiting Your Response card on their dashboard with a count, so they can reply to everything without opening each booking.
In the Check Cherry app for iOS and Android, a staff member can add a short reason when they decline.
When someone declines
- Their status reads Declined everywhere the assignment appears, with the reason underneath if they gave one.
- The package re-opens. They stop counting toward the filled total and the package returns to Unassigned Bookings.
- The booking drops off their dashboard, their booking lists, and their calendar.
- The Staff Declined a Booking message goes out, if you have one set up.
They stay on the booking's Staff page as a declined row so you can see what happened and who to replace. Remove them if you want them off the booking completely.
Seeing who has not replied
The queue has two views: All Awaiting Response for everyone on your team, and Awaiting My Response for your own assignments. Each card shows the booking, the packages, the venue, and who you are waiting on.
If someone tells you in person or over the phone, you can answer for them with Mark Accepted or Mark Declined. The same actions are on the booking itself, in the Staff panel's Actions menu under Confirm on behalf of staff.
Messages
Staff Declined a Booking is an automated message trigger, so you can be notified the moment a package needs re-staffing. It can go to your business, all admins, all staff, or the person who declined, and the {{ staff_decline_reason }} token includes the reason they gave.
The Staff Assigned to Booking message can also filter on Staff Response, set to Awaiting Response or Accepted. Combine that with a send time a few days after the assignment and you have a nudge that only reaches the people who still have not replied.
