How do I use Check Cherry as a staff member?

This one is written for the staff side rather than the office. If you work events for a company that runs on Check Cherry, everything you need is on your dashboard, and this covers what is there and what is expected of you. Business owners are welcome to send it to their team.

Your dashboard

Anything waiting on you sits at the top of the page, so start there. Below it you will find your upcoming assigned bookings. Down the side, Quick Links has your assigned bookings as a list or a calendar, plus counts next to Unassigned Bookings and Awaiting My Response when either one needs you.

Picking up open work

Unassigned Bookings lists work nobody has taken yet, one card per package rather than one per booking, so a wedding with a rehearsal shows up as two separate things you can pick up. Depending on how your company set it up, the button says Claim Booking, which assigns you on the spot, or Request Booking, which asks an admin to approve you. Each card shows how many people the package still needs, and it stays on the list until it is full, so do not assume someone beat you to it. There is more detail in how claiming and requesting work.

Accepting or declining an assignment

Some companies ask you to confirm before an assignment counts. If yours does, opening the booking shows a card at the top saying you have been assigned, with Accept and Decline. You can also answer everything at once from the card on your dashboard or from Awaiting My Response. In the Check Cherry app for iOS and Android you can add a short reason when you decline, which saves your office a phone call. See staff confirmations.

Declining is not rude and it is better done early. The booking comes off your dashboard, your lists and your calendar, and the package goes back to needing someone so the office can fill it.

When to show up

Your booking card shows an arrival time when the office has set one, which is usually earlier than the package start so there is time to set up. If there is no arrival time, the package start time is when you are expected. Arrival also lands on your calendar as its own entry, separate from the event, so your setup window and the event itself read as two blocks. Use Subscribe to Calendar in Quick Links to get them on your phone. See arrival times.

Checking in and out

If your company turned this on, check in when you arrive and out when you leave, either from the booking itself or from Check In / Out in the menu under your name. You can attach a note and photos, which is worth doing for the state of the venue before you touch anything and for any damage you find. You can only be checked in on one booking at a time, so if you forgot to check out of the last one, Check Cherry will tell you where. See staff check-in and check-out.

Your availability

Set Availability in Quick Links is where you block out dates you cannot work. Depending on your company's settings, time off may need an admin to approve it. Keeping this current is what stops you being offered work you cannot take.
