How do I use staff check-in and check-out?

Knowing when your team actually arrived and left is the difference between guessing at hours and having a record. Staff check-in lets people check in when they get to an event and out when they leave, with a note and photos, and gives you a report of every shift.

How staff check in

There are two ways in. From the booking itself, where an assigned staff member gets a check-in card at the top of the page with the booking already filled in. Or their own Check In / Out page, in the menu under their name, where they pick the booking themselves.

Either way they can add a Note and Attachments before checking in, which is where photos of the venue condition, the setup, or any damage go. Once checked in, the buttons become Check Out and Log Status Update, so they can add a note or more photos partway through a shift without ending it.

Location is captured automatically from the device when it allows it. There is no geofence and no requirement that the person be assigned to the booking, so a check-in from anywhere is accepted and simply recorded with wherever they were.

One open shift at a time

Someone who is still checked in somewhere else cannot check in again. Instead they see which booking they are on and since when, with a link to go there and check out first. This is what catches the forgotten check-out from last weekend.

Reviewing and correcting shifts

The Check-Ins page on a booking shows every shift grouped by staff member, with a total for each person, their notes and photos, and a map marker where location was captured. Edit lets you fix the check-in and check-out date and time or move the shift to a different booking, and you can delete a shift outright. Every correction records who made it.

The Staff Check-In Report

The per-booking view answers "what happened at this event." The report answers everything else: one staffer across a month, every open shift right now, hours for payroll.

Filter by staff member, status (checked in or checked out), check-in date range, whether the shift is attached to a booking at all, or one specific booking. Sort by check-in date or by staff name.

Columns controls what you see. It opens with Staff, Booking, Checked In, Checked Out, Hours and Notes, and you can add check-in and check-out location, who submitted the shift, the booking's ID, date and status, and when the record was created. Hours total at the bottom of the table.

Download gives you a CSV. Save as New Report keeps the filters and columns you picked so you are not rebuilding it every payroll run, and a saved report can be emailed to you on a schedule.
