Sometimes you need to share files with your team or clients for a specific event — setup diagrams for staff, floor plans for the client, or insurance documents the venue requires. Documents attached to a booking stay organized with that event, so everyone involved can find what they need without digging through email threads.
What Documents Are For
Documents work differently from photos in your gallery. These are files that relate to the logistics of a specific event:
- Setup instructions and equipment lists for your team
- Floor plans and venue layouts for clients
- Insurance certificates that venues require
You can control who sees each document — just your staff, just the client, or both. This keeps internal setup notes private while sharing the client-facing materials they need.
How to Upload Documents
Bookings → Select a booking → Attachments
Click Upload Files.
Select your documents (up to 50 MB per file).
Choose the visibility: Client & Staff, Staff Only, or Client Only.
Click Upload to save.
You can also add documents to individual client profiles from their contact page. These show up across all their bookings and are useful for things like standing insurance certificates.
