0:00 Everyone, thanks for coming. Um, this is a Check Cherry live webinar. U, the intent of this webinar is basically for newer people, specifically if you're coming over from another system and something that you can basically do uh just kind of like walk through some of the things, help you guys out. Um, so we'll cover some basics as well and kind of go from there. So, Matt, why

0:22 don't you go ahead and go? Absolutely. Mentions this is kind of uh intended as a beginner webinar. you know, if you met us at Photo Booth Expo, it was, you know, it was great meeting everybody. Um, you know, we get a lot of new people kind of signing up, trying the system out. Um, so we just kind of want to show kind of some of the main things to look at with a new account. Um,

0:44 actually, let me let's see here. Let me also Yeah, go ahead, Jud. We're uh we're pretty casual about stuff, so uh feel free to add a comment to the chat. Uh raise your hand, whatever. Um, we like collaboration. It's it's casual here. I mean, we don't have a a strict outline, that type of thing. We're basically this is here to help you guys. Um, and we just kind of have a a slight direction,

1:07 so to speak. So, are you going to get into a new account as Yeah, let me create a new account real quick because I don't want to use that. And yeah, and if you're an existing customer and you want to chime in with some tips or anything like that, that's cool, too. Um, but the idea is just kind of help you guys get up and running. Um, you know, there's everything from, uh, people coming from,

1:28 uh, nothing, you know, they're brand new, you know, not really having anything with maybe spreadsheets or something like that, and then everyone who has big operations that are complex, um, and coming from a system that they're ready to kind of try something new or upgrade uh, to something like Check Cherry. So, uh, really runs a wide array of people that we see coming

1:48 over to Check Cherry and we kind of hope to cover everybody. Um, probably worth also noting, um, I'm Jud. I'm one of the co-founders. Matt is the other co-founder. Um, you know, we've been doing Check Cherry here now for, I don't nine years or something like that. Um, and just growing the business, listening to customers, writing software, trying to deliver

2:08 good solutions for you guys. Um, and make it easy as possible. Um, so we're on your side. We want to see you guys succeed, you know, and all that stuff. and and setting up. Honestly, like it's funny because Matt and I talk, we don't like setting up CRM ourselves. It's a pain. Nobody wants to do this. Um, but when you get it set up and everything's running smoothly, it's going to

2:29 save you a lot of time and give you the ability to be more personal uh with customers and focus on uh growing the business and all kinds of other great things. So, good stalling. Thanks, Jud. So, yeah. Uh so we wanted to start today with um just a completely brand new account. Um just you know usually we kind of demo with with one with some data in it and there's a lot of value

2:52 in that I think in terms of seeing how it looks once once there's some volume once there's some um some things going on. But um but for tonight I wanted to start with just a brand new account. You know you just signed up for Check Cherry. We're just sample business 123. Um nothing you know nothing's in your account. And the first thing you're going to come to is our just kind

3:12 of an overview. Uh welcome. You know, here are a few things. And you'll notice the first thing we mention is chat with us. So what that means, there's a chat widget in the bottom right. Uh just send us a message. We're here to help. We're here, you know, to answer questions. Um if you know, if you get stuck somewhere, let us know. We're um we can point you in the right place. Um second,

3:34 you know, start with the launch center. That's this. just click the big green button here. Um, and then third is the support center. So, we'll take a look at that later. But before we do any of that, um, you know, if I go to this launch center here, you there's a bunch of things, you know, set colors and send tests and set up packages and all that stuff. You can technically use Czech

3:56 Cherry already. Like, you're already technically ready to go. If I didn't want to do any setup whatsoever and I literally just have a have an event, I want to send somebody uh link to to uh to collect their signature. Technically, you can do that already. So, um to do that, I'm going to just click create new in the top right. And most of the time, if you're looking to collect a signature,

4:23 um you know, somebody's like, "Hey, I want to book you. I want to book your services." You're going to want to do a proposal. And so we'll click that. You'll notice there's a few things in here. Photo booth, bronze, silver, and gold. We haven't set anything up, but there's already some demo stuff in here that you can use, but we're not, you know, we're not ready. We're not even going to use that.

4:42 We're just going to click custom oneoff event. Um, I'm doing a custom photo booth. Um, you know, whatever you want to include, you know, includes booth, uh, attendant, etc. Um, you know, if you know a date and time, drop that in there. Uh, we don't have add-ons yet. If you know the customer, great. We're just going to skip that for now. If you know the miss, if you know the um venue,

5:08 great. You can put that in. Otherwise, leave it blank. And we can also just put in a total right here. So, I'm just going to charge a,000 bucks and say I want to charge a $200 deposit and create that proposal. And great, you know, it's kind of boring. There's no uh no pretty graphics, no uh, you know, not much information, but I can send that to somebody and they'll get

5:34 that email and come to a basic proposal, you know, and it's going to look fine. You know, it's not beautiful, but it's going to work. They can click accept and sign um enter their details and it's going to say um to make a payment. So, the only thing we have enabled right now is a check option. You know, I suppose if you're going to do um if that's all you're accepting,

6:04 you know, I'll I'll show you how to go in and set up your payment settings. But, um I can click confirm booking and that's it. the event's been booked, it's confirmed. Um, you know, that's it. So, if you just need to do something quick, you just need a quick signature, um, there really isn't a lot of setup you have to do with Check Cherry. Um, but let's go through it. So,

6:26 now that I've done that, great because it could be better, right? Your images, your packages, the package templates, you don't want to re-enter um the dollar amounts every time. Um there's just a lot of things that Check Cherry will bring which just really streamlines your operations with just a little bit of package management and setup and then and then go from there. Yeah, exactly.

6:47 So now that I did that, it kind of unlocked my full dashboard, right? So now I'm seeing things like this revenue snapshot, upcoming bookings, recently booked because now we have something to show you. You know, before when you first signed up there was, you know, it would just be blank. So um so now we got a little bit to show you, but we can still get to that launch center. Um,

7:06 and to do that, I'm going to click this start building button up here. And we're going to see, you know, there's links to view videos. There's set a logo and colors. So, let's do that first. And to do that, I can hit this little start here. I There's also a short video if I want a more of a walkthrough of it. But, let's hit start. And now, it's going to ask for um for me to upload a

7:33 logo. So, let's see what I have in this account. I don't know that I have anything super convenient, but let's see. What I'm going to do is grab our logo from the other page here. It's funny. There's like when you that that when you do that, there's like a little white white line. It's interesting. Oh, I forget you guys can't see my whole screen. Yeah. Okay. A white

8:01 line now. Okay. Okay. So, what I'm going to do, I uh chose a file from my file system, and I'm going to hit save. And now I've got a little logo. So, I just used the Check Cherry logo because I had that handy. Um, it also looks better if you update the colors. So, instead of just kind of a boring neutral gray, you know, you could do uh a uh more of a something that kind of matches your

8:25 branding a little bit more. I'm just going to kind of eyeball it. If you need help matching colors, um just let us know. We're here to help. And then I'm going to hit save. Now I've got kind of a red like you know matching. Feel a little bit better. Yeah. Uh let's try more of a maybe more of a green though. I think that might look a little little nicer. And so okay, now we got more of a green

8:48 like like the stem a little bit. Um you'll notice this up here is still gray. So this is called the call to action. So why don't we go in and and do something there. Let's make that the the bright red. And And the other thing you can do, maybe I want more of a a black, you know, maybe I have a black website or something and I want the that top to be black. You can also change these background

9:11 colors, too. And so, by and large, just play around with it. See looks what looks good. Um, if you've got a website and you're having trouble making it look nice, just chat with us. We'll uh we'll match the colors and, you know, we've got color pickers and stuff we can use to to try to do that. So, um, so again, this is nothing amazing, but just kind of run with this this green for now.

9:31 Um, let's go back to our launch center and mark that as done. So, first step is all complete. So, next thing it's telling me to place a test booking and send a test proposal. Well, we just did the test proposal. So, let's mark that one done. And this one, make a test booking. This is a chance to take a look at C cherry from your client's perspective. So, uh, we'll talk a little bit about

9:58 how to sell the cherry later, but there's two primary ways that people sell. One of them is with online booking and one of them is with proposals. You can do either. Um, either workflow is fine. Uh, online booking is kind of like more of a customer comes and visits your website and goes through it all themselves. Um, whereas proposal is more like you send somebody something. So,

10:19 let's try this. Um, if I hit start, it's just going to take me to the online booking. I can also get to that lots of other ways. Um, you know, I can hit that create new in the top right and hit the start online booking that way, too. And what that's going to do, that's going to show me some packages. We'll uh we'll look at those later. It's going to show me um a form where I can fill

10:44 in. And this is basically what your customers are going to see, right? So, um, they're going to see a date, a time picker, things like that. Maybe you don't like these colors, though. You know, these don't really match with what we're going for. So, what you can do is click this button at the top, edit booking theme, and you can change these colors to something else. You know, maybe

11:06 we want more of a dark color. So, let's uh save and go back. And so, now we've got more of a dark look to it. I think that looks a little nicer. We'll go to the next step. And you know, I don't really like this clock icon. Let's do something similar there. Just change that to dark. And we'll just keep it simple. And I think something like that looks a little bit nicer. And again,

11:27 you can play around with colors. See what looks good. See, you know, see if a gradient, maybe the gradient looks nicer. We'll try that. Um, you know, lots of options as far as the look and feel. It's going to collect an address. That's fine. And we're done. We're at the end of the booking process. So, um you'll notice here when I'm testing this out, it says that I'm logged in

11:51 as staff and that the customer will agree to the terms later. So, um that's just kind of a quirk of checker. When when you're logged in as an admin, we're not going to collect your signature. We're going to wait till the customer logs in the first time. So, I'm going to hit next step and confirm booking. And b uh boom, I've got another booking in the system. So, um, let's go back to our

12:16 dashboard again and we can, you know, there was a quick video there that we could have watched, but let's mark that as done. So, a couple things I noticed from going through that booking process. Um, first off, the packages, you know, probably don't match your business. Um, there was a few things missing that you probably want to use. You know, if you're a photo boother, you probably want

12:37 have add-ons. You probably have backdrops. So, we'll come into some of that later. If I scroll down a little bit here on this launch center, you'll see this customize packages. And that's a um that's basically where you can do to go to do that. So, if I click that, let's see here. We'll click uh start and it's going to take me to customize packages. I can also get there through

13:01 the manage menu. You know, if I'm not using the launch center, um I can just hit manage and then packages and I'll come to the same place. We got a question. Hold on. Absolutely. Can the customer view the contract prior to paying the deposit? Also, can the contract have sections where the customers must initial to acknowledge? So, I I'll answer that. So, yes, they can see the contract

13:24 before uh the deposit. Absolutely. Um they sign it actually as part of the booking process either if you're doing a proposal or um a contract. And we do not have a feature where the initial to acknowledge. Um, and it comes up from time to time. Um, and I'd be kind of curious, Leslie, like what what you're looking to acknowledge, you know, in terms of what type of things. Um,

13:47 I guess it's in our experience. Customers don't really read much, and I think that's what you're trying to combat. Um, and we're not sure that, you know, the initials are going to fix it. We um we do though have a um there is a way that you can have like what we call uh like optional questions that do show up. So a common thing like say you're trying to get like a model model

14:07 release or something. Um we can take a look at how to do that. Basically on the step before the contract we'll just ask them straight out rather than having them initial. We'll say do you want to um you know do X Y. Yeah. So if you have a specific example I'd be curious Lesie. Yeah. Great question. Cool. Yep. And so, um, so over here on this package page, you know,

14:30 you see at the top there's a link to book us, book a call. Um, you know, you can say, "No thanks, I got this." And it'll go away. Um, but basically with what these packages are, these are going to be how you present your services to the customer, right? So, try to put yourself in your customer's shoes and how do you how do you want to present, you know, the first thing that they see from you?

14:53 um you know what what do you want to show as far as what each package includes? Um how do you want to kind of compare the the different packages to each other? And so there's a few strategies for that. You know, it's common to when you're getting started to not have a lot of packages, but you still might have something that's more basic, something that's kind of middle of the

15:14 road, and then something that's a little bit higher end. And there's a few reasons you do that. Um, you know, one of them being just kind of the psychology of, you know, certain people are going to want the the the cheapest budget option, certain people are going to be looking for kind of the premium option. Uh, but there's also, you know, when somebody is comparing you to another

15:34 provider, if you're more, they kind of want to know why and what they're getting. And so having a few different options can be helpful for that as well. Now, let's go into one of these. And rather than creating it from scratch, we'll just edit one of these existing examples. And I'm going to come in here and I'm instead of bronze, I call it, you know, I'm going to call it my basic package. And

15:57 maybe this doesn't have in unlimited instant printout. So I'm going to change that. And, you know, basically any any changes you want to make, you can you can change out these images if you want. Um, a common question we get is is like kind of what what dimensions to use on these images. It doesn't really matter. Uh, the main thing if if you keep them somewhat cons consistent

16:20 in terms of like an aspect ratio. So, you always use square or you always use like wide images or something like that, it should should look nice. Um, kind of where we see that that it sometimes doesn't look as nice is if you have like a real tall image and then a real wide image. Sometimes that looks a little off. Um, but yeah, if you always kind of use a square or something similar,

16:40 you should be good. We'll hit save. And then let's go to the pricing and scheduling. Um, and this one is important. This is probably the the most important screen on on your packages. So, we've decided what we charge. And then next up, we're going to set the starting rate. We have this, you know, we have a few options up here. If you're just getting started, honestly,

17:02 you can probably leave it as the default. Um, for the starting rate though, that's something you definitely want to look at. That's basically when somebody first books you, if they don't add extra hours, they don't add anything on to this package, to this basic package, what are you going to charge? And so, we can put in, you know, whatever number you want there. Um, and then how many hours

17:23 does this include? Um, and again, that's totally up to you. And then there's this option. Um, generally we find that people in at least in photo booth tend to leave this as yes. Um, and this is if you want to charge for extra hours and you know you put your hourly rate in there and put a maximum length. So if you don't want to do 10-hour events, you know, don't set that to 10, but if you

17:47 do, you know, feel free to put that as high as you want. Um, there's also this field minimum length. And basically what we're going to do, we're going to make sure the customer puts somewhere between the minimum of three and the maximum of 10. So that's pretty straightforward. The one thing to note though is we're never going to charge less than this. So even if they choose three hours,

18:08 we're still going to charge 450 bucks. Um, you know, the minimum that we're going to charge is that. There's also some things about unit pricing, and you know, I I don't think that that's generally too important if you're just getting started. Um there's some things like if you want to allow people to book like half an hour. Sometimes we see that. Um but if you're unsure,

18:28 just leave it as the default. And then deposit. Um that's another probably pretty important one. So this is how much you want to charge your customers when they book you. And there's a range of opinions on that. Some people want to keep the dep excuse me, the deposit amount small so that people book. Others want to make sure that they have enough that they're kind of covered if

18:49 something goes wrong. Um It's up to you. Yeah. Going back up just a little bit to right there. Minimum length. When it says minimum length, is that the minimum length of the entire event or is that a minimum length of uh minimum like if they want to do five hours? You're doing four hours for the regular booking and they just want to do one extra hour. Wouldn't that minimum length need to

19:13 be one one hour? Uh well, this is the Yeah, this is of the total. So um so basically we'll show a drop down that has anywhere from 3 to 10 on it. And so um so the kind of the way um it gets presented is let's go to the online booking here. Um so since since I said uh this basic includes four hours um that's coming from here and then once I choose that package let's put a name here

19:50 um basically I'm going to have a drop down of from 3 hours which is going to be 450 four hours will be 450 and then five hours it's going to start increasing. Um so that's kind of how it's presented. Um, okay. There is also a way to, um, if you don't want to use the drop down or you want to present things differently, we do have a way that you can, um, you can also just turn that

20:14 off. And you can also use add-ons for the extra hours. Um, and that that's an option as well. So, with if you go that route, then it's going to look like this. There's no drop down, just a date and a time. And then later in the process, they'll be able to choose um choose those hours. So, um, so it just depends. There's a few few different ways you can do things.

20:37 And then, um, yeah, and then with that deposit, you know, if you do a say a 30% deposit or something, um, you know, that's that's pretty common where, um, you know, and this is generally not going to be refundable. you know, this is generally if somebody cancels on you, um, they would generally not get this back, but make sure that that your contract says one way or

20:59 or another how that works. And based on those changes, um, you know, that's about it. So, I've got I've got my package now. You know, my basics all set up. Um, typically you'd go through set up your silver, set up your gold, and things like that as well. Um, hey Matt. Yeah. Show them how you can also in the package manager how you can create uh package groups and duplicate

21:22 things and all that because I think that's maybe you're going to cover that. Absolutely. Yeah. So, say you don't have three packages, you've got four, you know, you've got a uh a platinum or something. Um I didn't kind of breeze over that, but in the in the the menu next to it, you know, this little drop down menu here, we have this duplicate option. And what that does is that just

21:42 makes a real quick copy. So, when I click that, now I've got this copy of Photo Booth Gold. We'll call it photo booth platinum because that's better than gold. And we'll say this one costs, you know, $1,000. And now when I go to my um online booking, now I've got four packages there. Um, you can also, let's go back to our packages here. You'll also notice we've got these like groups

22:16 here. And the groupings are helpful for um for kind of creating like collections of packages. So, right now we've just got one group. And so, um, all that happens when I visit the online booking is I see this one group of packages. Let's make a duplicate of this and see what happens. Might take a minute. And then once it's done, now I've got photo booth and copy

22:43 of photo booth. Now if I go back to my online booking, now I've got another step was added. Photo booth and copy of photo booth. So let's go in here. Let's rename this to, you know, maybe these are my open air packages or something. And choose some kind of image here. See what we got. should get some better stock photos in here.

23:12 Put you to the test. Yeah. Um, and then let's go back and call this one, I don't know, you know, 360 or something. And obviously, you should probably uh, you know, choose something uh more appropriate for the images here. But we'll just put something different there and hit save. Now, if I go back here, now I've got an open air and a 360. And um again, it doesn't, you know,

23:40 the specific images don't matter a ton, but something that just kind of kind of gives the the feeling or, you know, gives a little bit of uh color and and uh makes it a little bit more visually interesting. And so when the customer goes through here and they book this, um now when they compare open air, they're just going to see your open air packages. uh they click

24:00 360, they're just going to see your 360. Another way to do it is to break things up instead of breaking them up by booth type. Another popular thing is to do uh more by like wedding corporate. And so I might have a set of wedding packages, a set of um corporate, you know, schools, parties, things like that. And again, now when I visit the page, it's going to break it like that. And either

24:27 of these is helpful for just kind of making things a little bit simpler for customers and making sure they don't get overwhelmed with too many options all at once. Um, and if you have more options, you know, continue to keep duplicating. Um, you know, you can kind of make as many as you want. Yeah, I think it's helpful. It's helpful if you for online booking and not having online booking to

24:47 organize your packages this way in the services, package groups, and packages. So, it seems like people like it. Yeah. Yeah. And then um and then we've even got another step here. You know, we call it a service. Right now we've got a photo booth service. Um you know, but I can I can even duplicate that. You know, maybe you also do DJ or maybe you want the first step instead of being um

25:12 uh photo booth versus DJ. Maybe you want these to be your wedding and corporate and then you've got a bunch of stuff that. So really just just depends what type of um you know what type of service you're offering and and how you want to organize things. Um if you've got questions, need advice, you know, um let us know. Uh one thing I'll say if if you are looking for advice, if you have any

25:36 type of like, you know, example for us to kind of look look at what you're going for, you know, if you've already got pricing on your website or you've got a pricing sheet or something, um share that in the chat. you know, that can kind of help us uh give a little bit more guidance. Um, but now that I've added that additional step, you know, if I go back to this online booking, now I've got

25:55 this additional photo booth DJ. Within that, I've got wedding corporate. Um, so again, you can make it as complicated or as simple as you want. Um, we we support kind of up to three levels though. So, um, you know, any more than that just kind of gets So, question for you. Absolutely. Can you take if you have three different groups, let's say one of them is schools, birthdays, and weddings, but

26:18 a lot of your schools and your birthdays use the same packages. Instead of me making them all over again, can I take and put like the first three levels uh basic, silver, and gold in both packages or in both groups? Yeah, they would be they would have to be separate. Um but you can if you just duplicate it or something, then it's then it's real simple to to keep. Yeah, but they are um they

26:42 would be separate packages um at least as far as like the you know the package ID behind the scenes or whatever. Um but um but yeah, you can you can definitely uh um make copies real quick. So I wouldn't I wouldn't worry too much about having, you know, two of the packages that kind of have the same info. Um for the most part, it should be shouldn't be too And I I'm going to add most of

27:03 what we see from customers is that those customer profiles have slightly different pricing packages and images. So your images are going to be tier geared towards the customer profile of schools versus corporate that type of thing. Um and then there's lots of other features on packages. You know we support things like private packages and you know dynamic features all all types of

27:25 different stuff. U we could have a whole webinar on on packages and I think we have as well. So um but um but let us know if you get stuck and and we're around to help. Um but let's go back to our launch center here. It's not um spend too much time on that. And so our packages are done. Boom. All set there. Next thing, customize add-ons. And so your add-ons are basically um you know, kind of

27:51 your best opportunity to upsell. Uh you know, with the package, it's generally um you know, there's generally some things that are optional. You know, whether it's physical prints or you know, whatever it may be. Uh, and that can be experiences, it can be extra time, it can be uh other services you offer. And it's real similar to uh packages. You just come in, create an add-on, edit one of

28:14 the existing ones, and put a name, description, image if you've got it, and you're all set. U, one thing I want to call out though on the add-ons is, um, in the bottom right, you'll see this little package selector here. And where that's useful is you can come in and say that this package is only useful for certain products, you know, for certain packages. So, for instance, this scrapbook

28:40 station, maybe that's only for, you know, whatever for photo booth. It's not for DJ or something like that. Um, and if you save that, then it will only present it to people when they're choosing one of your photo booth packages. So, that's kind of a recurring thing you'll see throughout Check Cherry um is this package selector. So keep uh keep an eye out for that in the bottom right. So you know

29:02 you come in, you set up a few packages or a few add-ons. Great. You're all set there. We'll mark that as done. Backdrops exactly the same as as add-ons. Um with backdrops it's um it's common that you know you have some included ones that are free and then maybe some premium ones. So again, if you want to you can limit it to certain certain products and services um or not. It's up to you.

29:28 We'll go back to the launch center. Mark that as done. And next, it's going to say connect bank account. Let's go there. Oops. Start. And so once I come to the payment processing page, you're going to see this big enable payment processing. What that's going to do is walk me through setting up a credit card um processing account. It's going to ask some information about

29:54 you know your bank account, your information or uh you know uh you know uh per you know where what what your business name is, what's your EIN, where to send the money. You got to send tax documents, all that stuff. Ron Ron has a question. Go ahead, Ron. Uhhuh. Um yes. So, when I'm setting this up, if I am selling a DJ with a photo booth, then how does that work? Is it do they need to select two

30:23 different packages or is it a DJ package with a photo booth add-on? Because if it's an add-on, then how do they get access to all of the selections that a photo booth would have without selecting a photo booth package? It's a good it's a good question and probably two packages because when you do the package then they're going to have the the template design selections, the backdrops,

30:46 all that's on the package level basically. Um, so yeah. Yeah, that and there are two options for that. So you could have like a a package called DJ plus photo booth as well if you wanted, you know, if you wanted to get fancy with it and then that would have all of the backdrop and design template and stuff. Um, but when they go through the booking process, um, we do have an option to,

31:10 um, to let them add another, uh, package to their order. So, uh, we kind of collect the main things that, you know, the required fields for a package. See if we have it on by default. Uh, looks like we don't. So, what you can do is under manage and then booking engine, uh, we've got this option to allow them to add additional packages. And so if I save that

31:34 and then go back to the uh to the online booking then um throughout kind of throughout the booking process there's a um there's a button where they can add another package to their order. So, so if if they add another package um and they're they're just inquiring, they're looking for a proposal, they don't need to answer all those questions about a backdrop and template and all of the

32:00 criteria for the photo booth right away. They're just interested in adding a photo booth. So, those questions can be answered much later. Yeah, they can be optional. Yeah. Okay. Yeah. So, if somebody is getting married in March of 2027, they can select a DJ package with a photo booth and then come back in 10 or 11 months to answer those critical questions that we need answered

32:25 right before their event. Absolutely. Yep. You're in the right spot because we get it. We're like all about sales. We don't need to slow up the sales process with decisions that don't need to be made. Um there's some settings where you can allow them to skip backdrops or not even choose them on proposals. All kinds of stuff. Yeah. So, one final question related to all of this, like we will do

32:44 uh DJ and if you add a photo booth, we take a $100 off the photo booth. Um, so it's a $100 cheaper if you already have a DJ booked as compared to just coming to us for a photo booth. Is that an option to work in somewhere? We don't have a mechanism for for like an auto discount if you lump packages together, that type of stuff, but that's where Matt said having a combo package

33:06 might be a good idea. Um, and you might just have to do some manual work for that and adding another package behind the scenes or you can send them a discount code. Yep. Yeah. Okay. Yeah. Some kind of bundle is something that that, you know, certainly makes sense. Um, it's just kind of one of those things. We haven't quite figured out how to make it not a ton of work for for setting up and stuff,

33:30 but but yeah, I think I think that's something that makes sense for us to offer. Um but for yeah for now you'd probably you know you could do we've got this photo booth you know maybe I could do um duplicate that and then have um combo pack something called like uh yeah photo booth plus DJ combo um or uh okay combo or photo booth plus and then that way you can have kind of

34:01 uh custom pricing on those. So, um, and then yeah, they and then once one thing I didn't really get into too much, but on these um, on these packages when you're setting them up, um, over on the advanced tab, there are that's kind of where some of those like fiddly settings as far as, you know, do I want to allow online bookings? Do I just want them to do request for proposal? Um,

34:22 do I need lead time on this package? You know, maybe it's something you have to custom order. Do I, you know, require the user to pick a backdrop? Things like that. um those are those are all found there. So um so there are some things you can you may want to check out on the advanced options uh as well. So um so going back to the um so with that that once you have that payment processing

34:47 set up um basically you're all set to take credit card Apple pay Google pay uh there will be an option to enable AC as well um CLA you can also uh if there's other like you know you want to have a check option where somebody writes you a check or things like that um you can do that as well and it's just common we see in the event industry where you know different organizations

35:11 have very specific requirements and so um you know so there's there's ways to do that as well. So um we'll mark that as done. And then the next thing that comes up is adding overlays or templates. And so to do that we're going to hit start. And we've all actually got a few in here already. Just some basic uh layout options. And so um where this is handy is again if you're doing photo booth you

35:39 know if you're in doing other things this doesn't this isn't so useful but with photo booth it's super common that you want to know at minimum like what layout they want you know what type of uh of uh layout you're going to be using. Um you can come in and delete these add your own. Um, you can also just delete this entirely and um, you know, upload your own custom templates if you want. Uh,

36:05 we also integrate with a lot of different photo booth design uh, template manufacturers. So, um, I'm going to go to manage business settings integrations to show those, but if you use photo booth talk, photo booth templates, patty bespoke, photo booth graphics, and templates booth, um, we've got integrations with all of those. So um if you happen to have a subscription with them

36:28 or you buy a you know buy their templates one at a time um those are options as well. So once you hit enable then those will show up under on that design collections page as well. Um basically how it works somebody comes through they book you they sign and then once they've got that once they finish that booking then that's where they're going to be able to pick uh view their design

36:52 templates. Right? So they can come in, they can choose one, they can answer any questions, and you're all set. So, um, so again, it's all in one place. You know, um, this will happen after they book though, not before. And the reason being, it just seems to be one of those things that really slows people down. We want to get that signature and that deposit as soon

37:13 as possible. And then any of the more complicated planning things, we'll we'll push till after. So, if we don't see one of the the sites that we're integrated with um or that's not in your system, is there a way to add it on? Um yeah, go ahead. I I would say just uh have them reach out to us. We're we love integrations, you know, it's great for us. Um just have them reach out to us,

37:40 you know, we can we can kind of go from there. I would ask them typically that's going to be the hold up is whether they're going to it's them. It's them that they're going to have to do the work. Yeah, we need permission to be able to show you know other people's artwork and stuff in here, but we're super open to it. Um, and then if you do have like uh, you know, like a lot of people will

37:58 make designs in like Canva or something like that. Um, if you do that, uh, you can upload your own as well. And so you don't have to, you know, or if you use a a manufact or a uh not a manufacturer, but if you use a provider that um that lets you download like a zip file or something of them, you can um you can do a uh bulk upload and um and just grab a whole bunch of files and and dump them

38:23 in. It's real easy. So yeah, Leslie, go ahead. I haven't forgot about your uh your chat over here either, by the way. Oh, I Yeah, I know. I figured we were kind of waiting. um question about the overlays. Yeah. Can you schedule that to go out? Like for example, in my current CRM, my questioner for the graphics, I call it um doesn't go out until final payment was has been made.

38:50 Absolutely. So with the um the so kind of how it works behind the scenes with check cherries we'll um we'll assign those design collections when they sign up but you can have um or when uh when the booking is complete we'll assign them but you can have the automated messages go out anytime and so I think the the default is is I can't remember if we include it in our uh default messaging u but

39:16 we'll take a quick look at that uh but you could definitely say have an an email that goes out, you know, when when that final payment comes in and say, um, you know, and have that be when you see send. And Leslie, I'm going to assume that's you don't want to do the work unless they're really going to be committed. Is that what I'm gathering? You do like a payment 30 days before.

39:33 I mean, I get that. Yeah, you can picture. Yep. Yep. And then on the on the uh contract, you know, she says, "Hey, uh, the example that she would want to uh sign or initials is basically they must acknowledge the setup requirements, location marked, someone must be on site to direct. also like if if there's delays that they're you know it's not their fault they don't have to

39:53 extend the time and all that stuff. Um and it's interesting. I mean quite frankly to me it seems like just standard contract language that wouldn't require an initials on that. Um but um we might have something there. Um another thing you can do is just send an email. A lot of times people want initials because it's like things like oh do we have power? You know and just sending an email

40:13 hey do we need power? You know yes or no or do we have it? you know, and then they upsell them on a generator or something like I've seen stuff like that. Um, but yeah, but you cannot uh initial at the moment, but I get it. Awesome. Thank you. So, um, last thing on this page is integrate your website. So, um, I'm going to hit start there. And what you'll find here is just a quick way to

40:35 get all the links that you might use with Check Cherry. So, you know, if you want to add a book online button to your website, just copy the link to your clipboard. Generally, what you're going to do is with your, you know, your Squarespace or your GoDaddy, your Wix, whatever it is, um, they already have button tools and whatnot in in there. And so, basically, it's just a matter of

40:55 of creating that button and adding adding the link or adding it to your nav or things like that. You can also get links to specific packages. So, say you have a wedding specific page on your site. Um, you can also get a link to a uh specific package, you know, click uh that that wedding and then use that as the link. And then what's going to happen is then when the customer clicks that link,

41:20 it's going to come straight to your wedding packages rather than showing everything. Few other things. Um, there's a a place where you can book a call with us. So, if you need help getting it on your website, you know, if if it's uh um not something you're comfortable with, uh let us know. Um the main thing Yeah. Yep. just we're we we want to help you guys, you know, get set up. We want

41:41 to help you be successful with Check Cherry. Um so we have a lot of different options from, you know, the welcome call, package setup call, integration call, and of course chatting with us and chat anytime. You know, uh the chat widget has standard hours and stuff, but we're responding to chats all the time. You know, just hop in there, just ask your question, we'll get back to you. You'll get

42:00 notified that there's a response. It works great. And then after um yeah and uh um yeah there's some other things you know if you want to do like lead forms you know uh just kind of a contact form things like that you can you can do that as well. Um if you happen to have a web designer that you don't want to give access to checkerry just copy the link at the bottom and you can send that

42:20 to them. Um that'll let somebody access the page without accessing everything which is helpful. Um and that's everything in the launch center. Um you know you can mark that as done and it's going to go away. um you're all set. But there's a couple things that I don't think we covered that we probably should have in that launch center. And so biggest one is contract. We didn't um we didn't

42:42 mention that. So um so what we can do for that is if you go to the manage menu and hit business settings and terms, that's where you can set your contract. And you'll notice we already have one in here. Um it's just a sample. You're welcome to use it. you know, you can edit it, make changes, delete it, and copy and paste your own text in there. Whatever you want to do is fine. Um, but we

43:09 just want to have something that you can use kind of as a starting point. And with this contract, um, basically this is what the customer is going to be signing when they book you. One thing that's a little different than about Check Cherry than some other things that you might have used before is we don't necessarily recommend putting every little detail in the contract. And instead,

43:31 this should be more about um you know, the expectations, the the cancellation policy, um who's responsible for what, that type of information. And what we're going to do, we're always going to attach this to the invoice that's going to have a full breakdown of things like, you know, who the customer is and where it's at and what packages and dates and times and all

43:53 that. And that gets you out of the world of like trying to figure out, you know, with a multi-day event how that's going to be formatted or you've got three packages and two add-ons and how are we going to make that look nice? Um, instead just, you know, um, rely on the contract to uh to to cover kind of the the legal issues you're concerned about and we'll attach it to the

44:13 invoice. Um, the other thing that that avoids is needing to collect a new signature anytime anything changes. um if you want to do things like you know upsell after the event after they sign uh it turns into kind of a hassle if you need to also hunt down signatures and things like that. So u but in general um just copy and paste there's a few tokens in there but in general just kind of

44:34 you know keep it as minimal as possible and and easy to read. Um, the other thing that that was brought up is kind of those optional things. Um, you know, where you want to ask somebody, you want them to agree to something without without needing to, uh, you know, uh, during that booking process. Um, that you can find under the booking engine. And then extra questions. Um, you can create a

44:58 new one. We've got a bunch of pre-built ones for you. Or you Oh, before you go on, Leslie's got a question maybe on the contract. I don't want to get her too far. Go ahead, Leslie. Thank you. Um, two questions about the contract. Um, first one, like I have two I have different contracts. The 360 contract because the verbiage in there slightly different than the photo booth and

45:21 um drop off. So, can you have even though you have this as your base contract um when I'm setting up my packages, can I have that specific contract on that particular package? Second question is second question is there are times especially like if I'm dealing with um government where we can't they don't do contracts. So it's more of like a memo of understanding. So can I have something

45:50 like that versus a contract like I can modify it I guess as needed? Yep. You can customize it on a proposal before sending it out. Absolutely. You don't need people to sign stuff. Um, and then regarding the notion of having different terms for 360 and regular photo booth, we do have this optional sections, which is a cool feature. Um, you know, but one one thing to consider also

46:15 is if anybody's ever going to add a service andor change packages. Um, you know, I I would just include it all in one contract. If you hire a 360 booth, here are the terms that apply. If you hire open air or booth, you get one signature. I think that's the most secure way of doing it. Thank you. Yeah. But what that looks like basically so the the reason so we do it

46:39 a little different than a lot of people say can I have a different and the reason um we don't do it quite like that is it's super common that people will have multiple um multiple packages on the same booking in check cherry where you know somebody books the 360 and you know and something else you offer. So, as a result, kind of how we do it is we have these

47:01 um these optional sections where I can come in, I can say, "Okay, this this part I only want to show to my 360." And, you know, I'm going to put it at the top, at the bottom, in the middle. Um, if there's literally nothing shared between your contracts, you can just replace the entire contract and say, you know, this is my 360, this is my drop off section or something like that.

47:26 um as well um with this if it gets confusing and then what you can do on those optional sections is say okay this is for only my my 360 or an add-on even yeah yep and so u but yeah if uh if it gets a little confusing um I'll I'll have a couple resources to to with more detail on that go for it Ron okay so what if the terms are different for different types of customers so all of the terms

47:55 are the same for just oneoff wedding clients. But if we have corporate clients and they use us all the time, we consider them kind of as a VIP client. So there is no deposit required for them and they might even be set up on terms where their balance is not due 7 days before. It's due within 30 days after the event. So in that case there would need to be a separate agreement unless

48:21 is there way a way to identify a VIP client and have separate terms for them. So yeah, so it's not going to be on the client, it'll be on the proposal. And so with proposals, what you can do is set up basically like like before you send it over to them, um you can customize anything you want on that. And so with online booking, it's a little bit like, you know, they they go through,

48:47 everything's predefined, everything's ready to go, boom, they're done. With a proposal, that's where you have like that full flexibility to customize things. And so you can add whatever packages, add-ons, you know, different fees. And then what you can do is you can edit the contract directly and um and make any changes you want. So, if you have something, you know, oneoff,

49:08 copy paste something else, change things, make changes, you can do that. Um, there was a question earlier about like, I don't have a contract for certain clients, you can delete it. Um, then it won't have them sign it. Um, and then you can also set things like the um the deposit amount. So, that's going to be since that's not really necessarily just a contract thing,

49:30 that's that's also ties into functionality. um you can set that deposit amount to zero um so that um so that they're able to uh when they go to accept it, it's not going to prompt them to pay. But these But is that just is that just for the one client in the one event or does that change it for everybody? Nope. It's just for that proposal. So yeah, the settings don't live on a user account

49:52 or anything like that. You would just have to modify it. Each proposal you send over, you would just make the modifications real quick. Yeah. And a lot of times what we'll see is people duplicate a proposal or a booking or duplicate booking into a proposal um for clients that are repeat. Okay. But if it's if it's in the proposal um and they need to sign an agreement and the agreement states

50:15 your deposit is this and it's due by then. Um here take a look what we're going to do. We're going to we're going to go in here. We're going to edit uh the terms. this only applies to this specific proposal. You might have a thousand proposals, but this it only applies to this one. Yeah, it won't it won't touch your global settings. So, yeah, your your normal settings will stay

50:38 the same, but that's just this this particular event has its own private private terms. And so, yeah, anything you want to change about it, you can. And it it it's safe to change that. So, but are they signing the proposal or signing the agreement? They're signing the the proposal is giving them the option to sign off on your terms which forms a contract is how I would say it.

51:02 People uh like to say I'm I'm you know do a contract. So here here's how it looks. So you send them an email. They uh see this. They click the link and then they're going to come to a page that has all the details um pricing, you know, what's due, etc. Once they're ready, they hit accept and sign and then um and then they can come in here, put in their email because

51:32 we haven't collected any of that. Put in their signature. We've got the the terms fairly minimal, but you can also show them them in line on the page. Um, and it's going to have just the the contract terms just for their specific booking. Um, they hit next step and then nope. Whoops. And then they're done. So, because there was no deposit, no deposit. We just skipped that.

51:58 It said, "Okay, we don't need to deposit." Um, it'll, you know, if this is the first time that they've they've dealt with you, it'll have them choose a a password for later. Um, and then but that's it. Yeah. They're done. And so, and if they've used this multiple times, then they would just use the same username and password. Yeah. And then they have a history of their bookings,

52:16 all that stuff. Yep. It works great, Ron. Yeah, I think. Yeah. Yeah. It'll be uh um Yeah. And so, you don't need to worry too much about um and yeah, like Jud mentioned earlier, too, it's real common um you know, this this one that that we just created, it's been accepted. It's been confirmed. And then now next year, um it's real common that you know, people want the same thing

52:35 again. And so, you can just take that put the new date and it'll copy it over to a new proposal and then now you can send that that new one to them and that'll bring over the contract. it'll bring over the due dates, all that type of stuff. And you can modify it further if you want. But, um, but that's a quick way to to kind of not have to worry too much about, you know, doing a lot

52:56 of modifications before you. And Matt, I have a question with V. What if I have existing bookings in spreadsheets andor another system? Do I have to enter them all manually? Depends. So, um, you can if you want. So, if you click create new in the top right, we have this log booking feature. And what you can do, you can choose a package, all that type of stuff if you want. You can do custom.

53:21 Um, what's real helpful when you're quickly adding bookings like that is you can go over here and o override the total because maybe the pricing doesn't really match what you had done in Check Cherry. You can also override the amount paid. So, if you've previously collected something, um, you can, uh, collect that as well. Um, and whatever else you want to put in, you can. Once

53:40 you do that, um, you're all set. You've got that that booking's been entered. If you have a ton of bookings, um, feel free to just send it to us. Uh, send us a spreadsheet to support.com. Um, excuse me. Um, and then we can, uh, bulk import those. Uh, a lot of times we'll have some questions on how you want to map things or, you know, do you want to send and what would you say would be the

54:01 threshold here? I mean, I think if if you had like 20 bookings or something, I me personally, I would just use the create new, you know, but if you're like 50 bookings, that's kind of Yeah, certainly 50, it would definitely I wouldn't want to do 50 manually. Um it yeah it's it's what about 250? Yeah, easy, you know. Yep. And good for you. Yeah. And we could we can also import past data

54:24 so you have your historical graphs. We're cool with that. Yeah. But see there my data isn't in a spreadsheet. It's if you remember us talking at the show um last week old system I remember. Yeah. It's a 20 20 plus year system. It's going to have to be done manually. I'm going to have to hire somebody to do it. You just click create new log booking, that type of stuff. Yeah, that'll be,

54:47 you know, that's your quickest way, but you can override a lot of the stuff which makes it faster. Okay. Um the what else was there? Oh, and a couple last things. So, uh we talked a lot about support. Um definitely, uh let's see here. So, under the support, if I click my name and go to support, you'll see a few options. Um, one thing I wanted to point out are the video tutorials. Those are

55:13 going to have a lot of info on any part of Check Cherry. Um, you know, if you're just curious about payments or contracts or whatever, um, that's going to be a lot more in depth. You know, we've got things on, you know, how to set up your lead. Well, you can also search, right? Yeah. Yeah. You can also just use the search. So, if you want to search for for contracts,

55:35 um if you can spell right, which I can't tonight, um that'll bring up support articles, that'll bring up videos. Um and the global search is great for for pretty much anything. It'll bring up customers. Um I don't know, we've got our our uh customer test customer that we put in here. Uh pretty much anything that that you uh um want to search for will will come up in there. Um but the

56:00 videos are great. Uh we do also have webinars in there. So all the webinars we've done are going to show up there. And these a lot of times they they can be things like um event specific. Uh a little while back we did a photo booth one, we've done a DJ one. Uh they can be when we launch a new feature. We'll a lot of times do a webinar to go along with that. Um but lots of lots of good stuff

56:21 in there if you want to get into more detail. And then you know like we've said a bunch of times at this point um just chat with us and we're we're happy to help. We like to help customers and we're known for having good customer service. Uh Sam does most of the chatting right now. Matt and I are also on there. Um and we're going to rope Jacob in too. But we, you know, just chat with

56:39 us if you have questions. We'll point you in the right direction, that type of stuff. We, you know, we can send you to uh with screenshots and videos and links, all kinds of stuff. So, Matt, great job. Awesome. Well, thank you guys. And yeah, uh reach out if we can help and feel free to schedule a one-on-one welcome call as well. Thanks for coming, everybody. Have a good

56:57 night. Thank you. All right. Thanks. Bye. Hi from Matt. Go ahead. Yeah. Yeah. Yeah. Uh this is Kevin Gaskins. I I just got an email that uh we have a 101 tomorrow at 10:00 a.m. and I just want to confirm that. Okay. Yeah. Did we uh I couldn't remember. Did we cancel or or not cancel? Yeah. Um, we did cancel it, but then I got home and I was so excited about doing this that I

57:23 worked all weekend on getting I was supposed to wait for the weekend and, you know, spend time with the family and I was like, nah. I was like, let me see. Are we done? Yeah. Okay. Yeah. Yep. That works good. Uh, so 1 p.m. tomorrow, 10 a.m. or 10 a.m. Okay. 1 Pacific. 10 a.m. Pacific. Yeah. Okay. Perfect. Sounds good. I'll make sure. Yeah. Sounds good. Good to see you, Ron.

57:47 All right. I just need a I just need a link sent to me so that I can uh Okay. jump back on there. It should be I'll uh Okay. I'll I'll shoot you an email um with with that info. So, yeah. So, uh 10 a.m. tomorrow. Thanks, guys. Cool. And then, do you want me to do you want me to email you all my questions so that way you're prepared for it? Matt's been doing this nine years. I think he's

58:08 got it covered. Yeah, if you want to, but uh yeah, I I I'll probably know the answers. So, yeah, it's uh it's up to you. Whatever works best. Awesome. I'll talk to you tomorrow. Thank you. Goodbye.
