Um tonight's webinar is on checklist. Um so
1:11 we'll be covering the checklist feature. Um Matt will be going over things and kind of you know how the checklist feature work, how you might use it. Um all that good stuff. And I think he might even have some sneak peeks of other stuff that's coming or new. Um, so I suppose we'll just let Matt uh run with it um in terms of uh you know sharing his screen and kind of going on the checklist.

So, um, so yeah, we were just kind of, uh, you know, reviewing topics we we've done and and we realized we hadn't done a, uh, a webinar with checklists and, um, you know, it's a, uh, um, an important part of kind of staying organized. And, um, so we just wanted to run through it, um, and I guess to kind of kick it off um, with
2:01 checklists in in uh, Check Cherry. Um, basically, um, I always kind of like to start on the event level. So, if you go to one of your upcoming bookings, um, you'll see this checklist tab that shows up. And, um, if you go in there, um, basically what how how it works with Cherry is you can have, um, you know, multiple checklists within associated with each of your bookings. So, right
2:32 now we've got this one postbooking tasks. Um, you know, we can add new ones, you know, and those can be blank. Those can use one of the templates that we'll uh we'll take a look at a little bit later. Um, but if you want to add a blank one, you can. You can, you know, rename it. Um, you know, things like that. And each checklist, um, has a bunch of, you know, to-dos or items or
2:56 checklist items, whatever you want to call them within it. So, um, looks like we've got something in this, um, in this booking already. And so, the kind of the simplest thing is if you know there's something you need to add, uh, you hit the new item and, um, you can, you know, decide to assign that to somebody to, uh, to one of your staff. Um, so if I want to assign it
3:20 to somebody, um, I can add notes. I can set a due date. You know, if I want to set this a week from now or something, I can. And I can hit save. And I just uh just one second here, which is there's kind of I guess there's like three different types of checklist one might make, right? So like before the booking stuff, to-dos if you will, then kind of like an equipment checklist of things to bring
3:44 to your events. Um and then maybe postevent tasks as well. Um maybe others can chime in with it. I mean, you know, you can have checklist belong for customers, I guess. I don't know that that gets used a lot, but um but I in my mind there's kind of those three different types of to-dos and equipment, you know, bring the equipment, that type of stuff. But um yeah, and you can
4:08 assign it to people. Yeah. Which is awesome. Yeah. And so those can be, you know, like I say, anything from just kind of to-dos to equipment to um to other things that you that you need to do. And um obviously you can check those off. Um, and then up here we have lots of different um, filters you can use. You know, if you want to see what's assigned to your to a certain person, to me, um,
4:34 right now this, you know, nothing is, but if I go over to this one, um, I've got one assigned to Jud. And if I were to assign that to my account, um, you know, now it's assigned to me, and I can see things that are assigned just to me, um, and I can see things that are unassigned. So, if I need to make sure that, you know, if I like to assign everything to somebody, I can um I can go through
4:59 and just see the ones that still need to be divied out. Um we've also got some filters here to, you know, if you just want to show unchecked items, um show the checked ones, show past due, um due soon, um items without a due date, things like that, you can do that as well. So um so the sorting helps to uh you know let you drill in a little bit on on certain things and then you can
5:26 change the the sort order. So by default um these checklist items you can drag and drop them um you know move around as needed. Um but you can also if you want to just sort by due date and see what's coming up you know this one is due June 14th so it'll show up first. This one's July 18th, so it's a ways out. And then if I had something um kind of more of a past due item, um let's see here. We'll
5:56 sort that. Then that'll show up at the top. So, um and then you'll kind of notice these these color codings here. You know, this will show as in red since it's past due. This is yellow since it's coming up soon. And then green is is a ways out. Um, you probably wouldn't assign due dates to things like equipment. You know, if it's if it's more of an equipment checklist or things you want
6:21 to bring the day of, um, those probably wouldn't have a due date. Then you can sort by um, creation order. So, if you just want to keep track of, you know, things that were recently added, um, sometimes that comes in handy, too. And then, of course, we've got more of a print friendly view. So, if you need to print this out and and you know, send it to somebody the day of, um,
6:42 you can do that as well. And that'll take just a minute to generate and then you can print this out, download it, um, you know, save it as a PDF. So, that's all that's all on the booking, right? So, that's just on the specific booking. Yep. And similar um, from the all checklist view, you can also get a print friendly view that has all of them on one page. So if you just want to see
7:06 everything um you know in a print friendly format, click that, give it a minute to generate and then you'll see everything in one place. So again, just kind of makes it easy to to see things at a glance. Um couple other options. Um if you need to add additional checklists, you can. Um and then you can uh reset all checklists as well. So, we'll take a look at the templates a little bit
7:31 later, but um if you ever find that the checklist items you have on a booking are a little bit, you know, maybe you've made changes to your templates, maybe, um you've added and removed packages and made a lot of changes. If you ever want to just kind of get back to how it started, just click that, give it a second, and you'll see the original checklist items for that booking. few
7:52 more uh less less commonly used settings. But if you go into one of these checklists um obviously you can rename it, change the name. You can also um we have this uh option to show items in your consolidated to-do list. So we'll take a look at that a little bit later. And then uh we have permissions. So in general kind of the default would be that your staff are allowed to
8:16 see these items and your customers are not. Um, you know, by default it's going to be that the staff can make changes to those lists as well. Um, but you can change that as well. So, if you just want to let your staff see and check off things, um, you can do that. You can also even let your customers do it as well. So, if you've got more of like a customer, you know, list of things that you
8:40 want them to do or that they might find helpful, you know, maybe some kind of a wedding planning list or, you know, checklist of items to bring the day of or, you know, things like that. Um, you know, as Jud mentioned, not super widely used, but sometimes it's it's an option. Yeah. And so, um, so this one setting here, this show items in your consolidated to-do list. Um, what that refers to
9:04 is that under sales to-do list, you can also, um, see everything kind of from all of your bookings in one place. So, because this checklist is has that option enabled, um, all of those items on the checklist are going to show up here. And so, if you're looking for more of a global to-do list, you know, I want to see all my to-do list items in one place, um, that's the place to go. just go
9:31 to sales to-do list. Um, and that's going to be um, you know, all of your checklists in one place. And and I almost feel like like this is probably everything but the equipment checklist, right? Like the equipment you don't want equipment items showing up here, I think is probably exactly the common use case. Or if you've got some kind of a checklist for your customers, you know, you
9:53 might not you probably don't want that, right? Yep. Yeah. And again, um, you know, definitely make use of the the search, um, you know, the filters to let you kind of drill into just things that assigned to you, an assigned, um, past due, things like that. By default, we're not going to show proposal checklists in here, um, because generally speaking, it's not what people want, but
10:19 there is an option to turn that as well. So, when a proposal is created, um, we actually do generate the checklist items at that time. So you can you can see those as well. Um generally people just leave the default which is unchecked. And then um in the sort options um we have that sort by due date. There's no manual sort because it's kind of a you know merged of of a bunch of different
10:41 bookings. So a manual sort doesn't really make much sense. But um but we do have a way to sort by event date. So, if you just want to sort this by, you know, this is a J July 19th booking, um, you can do that and that'll group all of the to-do list items uh, for your events together. So, you'll see all your July 19th events in one place, all your July 20th events in one place, and
11:04 so forth. Then again, you can sort by recently created. So, um, you can also, um, just manually add things to your to-do list. So, if I want to um add something that doesn't really fit, you know, it's not really associated with the booking, I just need to, you know, um renew business license. Um you can add items without it being associated with an event. And so, I'm going to
11:32 assign that to me and set a due date and hit save. And so now, um, on June 14th, I I need to renew my business license. And so, you'll kind of see down here at the bottom of the checklist item, um, a little description of where this item is coming from. So, in this case, it's coming from one of my bookings. I can jump straight to that event. Um, I can jump straight to that checklist. Um, I
12:00 can check and uncheck things from here. And then for my shared checklist, um because that's more of a global option, there's not really, um, you know, a booking or anything to go to. Um, but it can still be helpful to have. Awesome. Hey, if I just hop in, I just got a request to record the meeting. 12:20 So, no need to record the meeting. Awesome. And um yeah, let's see here. Anything else I'm forgetting on the global to-do list? I think that's No, I mean, you know, obviously I think the real power is where you're going to go with the uh automatically building the to-do list. Um, and I think that's really Yeah. Yeah. And so, kind of the next level here is under manage.
12:45 Um, we call them checklist templates. And so, this is where you can automate things a little bit more. So, if you've got certain um certain things you need to do for all of your bookings or for certain types of bookings, uh, this is where you can do that. Hey, one second. I was missing the chats, man. I'm sorry. Greg asked, "For the checklist option, does it have to be turned on to
13:07 show in a booked event?" And I don't think so. I think we always show it, right? I could be wrong on that, but could be wrong. Um I think we always show that checklist tab. If you're an admin, um I think if there's nothing there, it doesn't get shown to clients would be my guess is how we would write that. But I guess we do hide the checklist unless there's something there. Oh, interesting.
13:31 You can do is under the manage booking um let's see option there. Great. Good question, Greg. Good question, Greg. So, um yeah, it's a good good one. So, we'll uh we'll have to change how that works. Go to slash checklist right now. Very easy to use. Um yeah, interesting. Yeah, thanks, Greg. I think we used to uh Yeah, it's interesting. So, we'll fix that or change how that works for sure. Yeah,
14:03 I thought we showed it always to the admins. Yeah, I knew we hid it from from staff and customers, but um and and kind of the idea is just we don't want to show things that are not used or that kind of get in the way. Yep. Yeah. So, going to um if you go to manage checklist templates, um you'll see a bunch of different um lists here. You know, we've got our post postbooking tasks, pre-booking
14:30 tasks, and things like that here. And how this uh feature works is within each of these lists, you can have a number of items. So, if I go to um review customer portal, um right now kind of the default if you're just playing with this for the first time, uh we don't add these to your upcoming bookings because it just kind of, you know, until you specifically want to um you know,
14:58 we don't want to add a bunch of to-dos for it. Um, but what you can do is you can edit any of the example ones in your account or you can create a new item and you can choose which packages you want that to apply to. So this review customer portal item um you know we might want to do that for all of our packages going forward. So I'm going to click the all packages button here. And
15:22 you'll notice down here we've got this um option to sync these changes to your existing bookings. Um, generally you want to leave that checked. And now if I look at the other options here, we've got our title, um, any notes that you want to add, uh, which, you know, which category or list name you want that to show up on. Um, do you want to automatically assign a due date? Uh, you know, and
15:47 that can be, you know, you can set that to no if it's more of an equipment type thing, but if you do, you can do like 3 days before the event date. Um you can do it based on the due date which would be the uh referring to the payment due date or you can do it based on the book date. So for instance if you have something you want to do a week after you know somebody books you can do that and you
16:12 can decide whether you want to automatically assign to staff or not. So let's hit save here. And once I hit save, um, this should get added to any of my existing, um, bookings that have that check here. And so now, if I go to my checklist for John Smith's uh, booking, I have this item here. So, let's view that. And we've got this new review customer portal item. And so, the due date
16:47 is um, this event was booked today. the due date was set to a week after that. So again, I can come in and check that, uncheck that, etc. Um, you can also make changes to it. So if I come in here and I'm like, you know what, I need to um, you know, I don't want this to show up for all packages after all, you know, I want to disable this or something, you can do that. Um, and as
17:12 long as you have that box checked, it should sync it over to um to any of your existing events. So, in general, you shouldn't have to manually go through and and reync everything, re reading everything if you don't want to. Um, you know, let's go ahead and add a few items here. And we'll go ahead and make all of these show
17:40 up for all of our packages. And now, if I go back to my booking, I've got three items here. You can also this just makes it really easy to manage, right? Because that was initial customer feedback. You know, they were changing their checklist and it wasn't syncing and all kinds of stuff. So, I love that. Yeah. And then maybe I
18:01 guess mentioned before if you're going to go the add you can also have checklist belong to add-ons and I guess backdrops, right? So, exactly. Yeah. So, um if you are using that, you know, a lot of times you'll want to uncheck the packages and just check the add-ons or just set check a certain Yeah. Like there's your gold sanctions. Yeah, exactly. So that's I think sometimes that can
18:21 cause a little confusion if uh you know you you have this checked but then you also have an add-on checked. It's going to apply if it's any package which is basically oh interesting. Yeah. So um just something to kind of watch out for. So you probably want to uncheck all packages if you're doing add-ons or backdrops. And then um similar you can do you know probably more common
18:42 than checking individual backdrops is to use the all backdrop. you know, maybe if somebody has a certain backdrop or certain category of backdrops, um, you want to have certain items to do there. And so people use that for, you know, kind of more equipment based things like if there's, you know, certain equipment you need to bring with your backdrops,
19:02 um, they'll check. This is all packages. And under the settings on these, um, a few settings to take a look at. So you can also um you know you can rename these categories. You can kind of set the global you know whether you want items in this category to show up on your consolidated to-do list. Um you can set the default permissions on these checklist or on these uh categories. And
19:32 um you can also, you know, delete the category if it's something you're not using or even um if you want to reset, you know, maybe somehow things got out of sync or you've just made a lot of changes or whatever, you can also use this option to um to reset this checklist on all of your upcoming bookings. And so if you know if you're just you know maybe you're you've kind of
19:57 gotten you know you've had these in place a long time but you weren't using the feature um that can be helpful for um for kind of getting things reynced again. So uh just look in the bottom right corner under the settings for that reync option. And once you do that um again it should you know should show everything up under the under each of your bookings. And then similarly, if I go to my
20:20 to-do list now, um I have all of these items in one place. Um another thing that's helpful once you've got a lot of items, you know, or you know, more than more than one or two like we had before, um you'll see this bulk update option shows up now. And so that could be useful for um selecting a bunch of things all at once. So, if I've got a bunch of items in my list and I need to delete
20:43 them all, uncheck them all, or check them all. This is how I use checklists, Matt. I just make them and then I'm like, "Yep, they're all done. Forget them." Yep. We're going to start fresh with a new checklist and I'm actually going to follow it this time. And you know, it certainly happens where you kind of, you know, at some point you're like, you know what? Uh, I'm too far behind.
21:05 Let me just read everything and and wipe them all. Goodbye. Exactly. But, uh, that won't show up until you have a few items in your list. So, just um, and so, um, let's see. And so, under the templates, and I think that's about it with the templates. Um I just want to add I'm going to add one thing which is you know we decided when designing this feature to have um you would
21:37 basically have one equipment checklist and then multiple items in there and those would belong to the packages right so you would you know sometimes people want to come in they want to create multiple checklists one for each package or multiple equipment checklist you know one for each package and it's actually just one equipment checklist and then you go to each item And I feel
21:59 like we thought that would be um easier to manage over time, right? As you add and remove packages or stuff like that. Um so that is one thing to mention. Um and I don't believe there's a settings at the category level to belong to packages like backdrops. Thankfully, we have gotten there. So there's no confusion there. Um but yeah. Yeah. Yeah. We don't have a setting at the category
22:23 level and you know it doesn't I can I could see an argument for it for sure. Um it always creates a lot of confusion in chat you find when there's um settings on on both on multiple levels. Um you know it comes up with the backdrop sometimes where people will have certain packages set at the category level and then other packages at the individual level. Yeah. It makes a lot of
22:45 makes things really confusing as to you know you don't think to check in both places and kind of makes things um just a little bit confusing. Um, that being said, you know, maybe there's uh I don't, you know, there's always certainly always room for improvement on stuff. Is that it for checklist? I mean, I don't there's that. I mean, that's kind of that's the checklist templates. Um,
23:07 kind of the next thing I think we we were going to go over is just the dashboard. Um, yeah, that's right. We do have a a widget for that as well. So, um, if I go back to my dashboard and hit customize, um, let's customize our dashboard. We've got a checklist widget in here somewhere. And so, I can add that. And, um, you know, we can set a results per page, you know,
23:42 depending on how many how many items we want to show. Um, and what you'll notice with this is, um, it works similar to under sales to-do list, um, where you've got different filters, uh, things like that. If you just want to see assigned to me, you can. And the way this, um, let's go back to our dashboard here. And so, um, the way this is going to work is basically it's it's, uh, sticky.
24:08 So, as long as you know once you change it in your browser, um if I go back to, you know, different pages on Check Cherry, I go check out my bookings and I come back to the dashboard, it's going to stick with those settings. So, you can kind of come in, set it up how you want, you know, just show unchecked or sort by due date or whatever. Um, and then when you leave, when you come back,
24:30 it's going to keep those settings. Um, you know, the search is great, things like that. You can also add items right from there which is helpful as well. You can even bulk update from there as well. Um on that dashboard widget um it will look a little different depending on how much room it has. So if I drag it over here on the right where we've got less room um that's going to look a
24:55 little different and so you know it's going to be more of a a a smaller view where the the filter items are kind of hidden behind a modal. So um so definitely play around with it. see what kind of works well. You know, play with how many items you want to show in it. You know, if you want to if you've got a ton of stuff on your dashboard, you might not want a lot of stuff in there. Um,
25:15 conversely, if this is really important and a big part of, you know, how you stay organized, you might want to make this real prominent toward the top. So, um, so yeah, so I think that's helpful to know. Um, let's see. If anybody has questions or wants to share how they use it, I mean certainly now's a good time. Um, you know, or something, you know, how it's been helpful for

Um, but when you're setting the due dates on the checklists, is there some type of a notification or a email or something that's going out to remind
26:08 us to do these tasks or is it more userdriven to just have to manually check always? It's a good question. Uh, Matt, you wanna Yeah. So, um, one of the things we found is there's a a ton of, um, you know, people will have a ton of them. We think it's it's too much to kick off emails for all of these. Um, one of the things we're going to do pretty soon, I'll give a sneak peek of it is
26:39 um, I didn't plan her, Matt. We knew you knew this was coming. This is common feedback, by the way, or common question. So, one of the things we've currently got an email that goes out to admins right now. Um, I think we call it checkerry daily, you know, with the date in it. Um, that goes out if you have any messages in your review queue or if you've gotten any um any spam
27:00 leads, you'll you'll get that currently. Um, we're working on a bit of a refresh of that to include some to-do list items. Um, and that will have um just kind of a a snapshot of of things that are assigned to you. um we'll probably roll this out to admins first and then shortly after um generalize it to staff as well so that that's something you can set up with staff. Um but kind
27:24 of how we see it working is um you know is having having an email go out for every checklist item is probably just a bit too much. So instead by doing um more of a daily, you know, daily roundup of those items, we think that that'll that'll work better for kind of staying on top of things. Um, also, you know, definitely, um, you know, with your your dashboard, with, uh, the app, um,
27:50 you can see these items within there, too. So, um, so if you're looking for kind of more of a of a list of all the things you need to do, um, you know, that's kind of currently what we think. Um, but yeah, we're open to feedback on on ways to kind of make it more effective, for sure. Yep, we knew that was coming. Thumbs up. Okay, cool. Great question. Um, yeah, so that's
28:16 checklist. Um, not everybody uses checklists. Um, you know, I think it really gets helpful when you have, uh, more stuff and more people. You know, that's really when it can be helpful. Um, you know, just the idea of not forgetting things, you know, having a team, all that stuff. Um, I've seen people use checklist to pack up boxes, you know, um, and the box itself is just
28:41 then picked up by a by a staff member or something like that or kind of a package, so to speak. Um, or they just grab the stuff as they go. Um, either which way, but a great way to stay organized and certainly a um, something I would encourage people that have, you know, stuff or forgotten stuff to use. Yeah. 29:03 I guess I have one thing I want to share is that we're going to um we call these webinars right now and we hate the name webinar. It's like all stodgy and you know, and we want to do more stuff like this. Um and so we're going to rebrand it like Check Cherry Live, I think. Um and that might turn into different stuff. I was seeing the checklist uh when trying
30:20 to to print it. For example, if one of my uh team members want to print the the checklist and like I say, just check mark everything they have. I see that it's really good when printed. It's really organized. Just I I got a just got a glance about how it looks and it looks really nice. Love it. Thanks. Yeah. Yeah, we recently updated the uh the print view of that and then we've got

Another question that I got, guys, I know is kind of out of the subject, but is with the
31:08 printing uh with the questionnaire. I think we had a conversation about it uh when printed because I'm the kind of guy if I'm working a questionnaire for a wedding, I like to print it, have you know write it down any notes that I want to take it and then made the uh questionnaire converted into a program and timeline for the couple and we send it for their approval. So we collect all the
31:34 information like the first dance uh ceremony music and so on. But when printed, oh my god, it was like, oh no, we need to find something better. So, go ahead. We do have some um we've got some updates coming on the printed. Um you'll actually notice with the checklists um they look a little nicer now than they used to. Um we've got a um we're kind of making some updates to
31:59 our our print services behind the scenes. So, um, so yeah, I think we'll have, uh, some good stuff on the on the questionnaires to kind of make them look a little more like like how they show up on, um, you know, on the web. Um, so that it kind of looks a little more consistent rather than I think right now it kind of gets jammed into columns. And for some things it works well, but for some
32:20 things not so well. And so, yeah, the website in the website uh style like is great. Like I really like it. is really organized, but when you print it, like physical print in the printer, oh my god, it's like, like you say, just in the column and it's all over the place. So, so I'm going to do that. Uh do you mind if I ask a question based on the last
33:06 um the last checkerry live, not the last webinar? Yeah. Um proposals. Um when you make a when you basically take a lead and you create a proposal with it, can you convert the proposal back to a lead? like if they don't accept it, like if I give a proposal because I love the idea of the proposals because I can essentially almost get figure out what they want, but if they don't
33:28 accept it and the proposal expires, then it's kind of like almost it's like a dead lead. So, can I convert them easily back into a lead so I can put them back into a salesunnel? The short answer is no. Um, you can't. Um, but you can find them and unarchive them basically. Yeah. So what happens when I take a lead like if I take this lead here and convert it to a proposal um part of the issue
33:54 is that we want to make sure like you might do things that that don't apply to proposals. You know if you uh add a payment to it or you know set questionnaires or things like that. it doesn't really work um as far as um um you know we we can't really we don't really have a way to go back to a lead from that point. But what you know if you did decide to delete this booking or delete
34:19 this proposal or whatever um if you go back to your leads now um you'll notice it's still gone. It's still hidden. But over here we've got this uh status of you know not converted yet. And so what I can do is I can change that status to show my converted ones or all of them. Let's go to that. Hit apply filter. And you'll see the one that I converted is actually still in there as a lead.
34:45 Um and so what you can even do is is unmark it as converted. Once you do that, um now it's going to show up again like a regular lead. Uh whatever emails are going to go out are still going to, you know, they'll start going out again. So um so basically if you go into yeah just just look for that status um find it find it in the converted and then um and then unmarket is converted
35:09 and you'll be you'll be all set. Okay. So you basically you deleted the the proposal probably yeah you don't strictly speaking have to delete the proposal but you know you probably or cancel it or something. Um, and then yeah, under the leads you'll want to un unconverted or unmarket as converted and then that way it'll start getting emails and stuff again. That's great. Yeah,

Um, so that was a, um, a popular one where you can set up different alternatives. Um, we've gotten a lot of good feedback, a lot of use on that. Um, so we'll be rolling out a few updates to that in the
36:20 next couple days. Um, you know, right now you can you can add alternatives, you can kind of remove them and stuff. We're going to change the way this works a little bit and you'll be able to um drag and drop to reorder them. You know, if you want to change the order, if you want to rename them, you'll be able to. Um, you can um just kind of make it a little bit easy to manage these. Uh
36:42 we've also been rolling out little little bug fixes, little changes based on on the feedback we've gotten as well for those. And then a lot of great feedback. People are using this feature, you know, and we knew that. I mean, it was it was a lot of work to get done. Um but we knew that people were going to use it and it helps you guys sell. 37:04 other uh one other one we've got coming out within the next couple days is under uh reporting. Um, we've always had the notion of of saved reports. And so those can be useful for things like, you know, maybe maybe you have a certain, you know, booking view you want to see or um, you know, maybe you want to see who owes you money. Um, you can go to these reports and customize, you know,
37:30 change what shows up on them. You know, if you need that invoice number or something, um, you can save it as a new event or as a new report. um outstanding benefits. And so those are helpful for for making it easy to um to be able to come back to a saved report quickly. Um we're adding a new setting to those saved reports where you can email
37:56 yourself a copy of it. And so if you want to um you know send yourself a daily copy of a report, uh you'll be able to do that now. And so what happens is each day we'll we'll go through any reports you have set up and kick out an email based on that. And where that's useful I think is um sometimes people have like you know accountants or staff or you know just different people where
38:21 you don't necessarily want them to have access to everything in Check Cherry but you need to send them data periodically. Um we think we think this will be helpful for that. So, um even you know to yourself and once you once you do that then you're going to get a um u a daily copy of that report with you know whatever you know whatever the report is and then you'll be able to see that
