Learn how to set up Design Collections in Check Cherry so clients can browse, pick, and approve custom artwork — photo booth overlays, welcome screens, backdrops, monograms, and more — right inside their booking.

If you sell anything with custom artwork, photo booth overlays, print layouts, welcome screens, backdrops, monograms, or even a 360 intro, design templates and check cherry let your clients browse the looks you offer, pick the one they want, and approve the final artwork, all inside their booking. Head over to manage design collections, and you'll see you can click new design collection to start your own. Or you can open up the sample collection that came with your account and edit that. name it after what the client is actually approving. Once that collection exists, you fill it with templates. And you've got a few ways to do that. You can upload your own inside the collection. Use new template to add images one at a time or use bulk upload or bulk actions to bring in and edit several at once. This is the way to go if you're already making artwork in your own tools and you just need a clean way to present it and get sign off. You can also pull in a ready-made library from a thirdparty provider. Check Cherry integrates with design platforms like photo booth talk, photo booth tempmplates.com, and others. Once one is connected, you'll see an import button right here for each provider. And you can pull in a whole polish library in at once instead of uploading everything by hand. The settings tab is also where you fine-tune what the client actually sees, which individual templates show, which layouts are available, and which categories are in play. And in the applies to section, you choose which package this collection appears on. Now, for extras, the first is offering a design as an upgrade. Right there in the applies to section, alongside packages, you can assign a collection to specific add-ons. So, the templates only appear when the client buys that upgrade. It keeps the standard booking clean and only services the extra designs to the people who paid for them. Often you need information along with the design choice, the couple's names for an overlay, an event hashtag, a color preference. That's the extra questions tab. Add a question, choose the field type, and decide whether it's required. These show up to the client right where they pick their template, so the answer stays attached to that design. Now, here's the client side. Once their booking is confirmed and includes a collection, a designs tab appears in their portal. They open it, browse the templates, they make their pick,
you get notified, and you create the finished artwork and upload it to the booking. And they either approve it or request a revision with notes. When they approve it, locks in as final for that design. And because every design is independent, they can approve the welcome screen today and the overlay next week without one holding up the other. Now, the most common mixup, if a client should end up with one look out of several options, those options all go in the same collection. They pick one. But if the client should end up with several finished pieces, like a 360 intro and a 360 outro, those each need to be their own design because a collection only lets them approve one. The other gets marked rejected. Your changes only affect future bookings. Existing bookings keep what they had, so nobody's designs shift around mid planning.
When you do want to push an update out to current bookings, open the collection and use the sync tab. It shows you what's out of sync, what would be added or removed and how many bookings are affected. And you confirm syncing never overrides work in progress. So any booking where the client already picked a template or you already uploaded artwork is left alone. If you want to connect a provider, go to business settings, then integrations, find the design provider like photo booth templates, photo booth talk, Canva, and others are right there. Click enable or connect. Then follow the prompts to authorize. After that, the import button appears inside your collections. And if you ever disconnect a provider down the road, don't worry. Bookings that already have a design selected keep their choices. Only new bookings lose access to that provider's templates. And that's it. That's how you set up design collections.
