Automating Check Cherry with Zapier

Zapier connects Check Cherry to thousands of other apps without any code. Most businesses use it to stop retyping the same information in two places: new leads land in your CRM automatically, payments log themselves to a spreadsheet, and your team gets a Slack message the moment a booking is confirmed.

Zapier is the right tool for most automations. If you have a developer and need something Zapier can't express, Check Cherry also has a direct API.

How a Zap works

Every Zap is built from two halves: a trigger and one or more actions. The trigger is the thing that happens. The action is what gets done about it. Read together, a Zap is just a sentence - "when this happens, do that."

The part people miss is that Check Cherry can sit on either side of that sentence. It can be the app that starts a Zap, or the app a Zap writes into.

A Zap has exactly one trigger, but it can have as many actions as you need. One new booking can post to Slack, add a row to a spreadsheet, and create a task for your team, all from the same trigger.

Zapier also has a third kind of step, a search, which looks up an existing record instead of creating one. Searches are how you avoid duplicates and how you pull in details a trigger didn't include.

Connect your account

Go to Integrations and click Connect under Zapier.
Copy your private API key from the window that opens.
Click Get Started to open Check Cherry on Zapier.
When Zapier asks you to sign in to Check Cherry, paste in the API key.
Your API key gives full access to your account. Treat it like a password, and don't share it outside of Zapier.

Triggers: what starts a Zap

A trigger is the thing that happens in Check Cherry to kick off a Zap. There are twelve, and all of them are instant - Check Cherry pushes the data to Zapier as it happens rather than making Zapier check on a schedule.

Leads and users

New Lead is the most popular trigger by a wide margin. If you only build one Zap, build this one.

Bookings and proposals

There is no separate trigger for a proposal being sent, viewed, accepted, or expired. Use Event Is Updated and filter on status in Zapier, or watch for New Event Is Added, which fires when a proposal converts into a confirmed booking.

Payments

Staffing

This trigger is about scheduling, not your roster. It fires when someone is assigned to work an event, not when a new team member is added to your account. To catch new staff accounts, use New User Is Added and filter by role in Zapier.

Use Find or Create Lead rather than Create Lead when leads might arrive from more than one place. It keeps you from ending up with the same person in your pipeline twice.

Two things specific to Check Cherry

Leads that arrive through Zapier are tagged

Any lead created by a Zap gets an origin of Zapier. That means you can treat those leads differently from the ones that come through your booking engine - most usefully, by sending them their own automated message.

Go to Automated Messages and create a Lead Created automation.
Add a condition on Origin and set it to Zapier.
Write your message and turn the automation on.

New lead triggers are delayed slightly

The New Lead trigger waits about a minute before firing. Leads from an incomplete booking wait roughly twenty minutes, which gives the client a chance to come back and finish checking out. If they do finish, you get a booking instead of a stale "someone abandoned their cart" alert.

When a Zap isn't working

Turn on enhanced logging from the Integrations page, run the Zap again, and look at the request logs to see exactly what Check Cherry sent or received. Enhanced logging stays on for one week and then switches itself off.
