First Look: The New Staffing Tools

Um and this was probably, you know, we look we look through our feature requests, you know, so if you have ideas on how to make Check Cherry better, feel free to chat with us within the app. Uh it's the best

Um and some of this stuff I mean man the assigning people to packages I mean that's been something that we've wanted to get done for several years basically. So it's really nice to finally have this uh to present to you guys. Um I've got it easy. Matt's going to do all the

And, um yeah, we'll just
1:13 kind of go over uh how staffing currently works, what's new, what's changed, um things like that. So, uh, feel free to, you know, ask questions along the way. Um, so, uh, I guess to start at the beginning, you know, um, in Check Cherry, you have staff accounts. Um, that's largely unchanged. You know, if you go to, um, manage user accounts, you can set up your staff. Um, you know, worth
1:38 mentioning. And basically, it just kind of comes down to checking that staff box. And um basically what that lets you do um it lets your uh lets this account log in. Um you know depending on how many permissions you give them, they may be able to see all of your bookings. They may be able to see only the ones they're assigned to and things like that. Um you can create as many staff as you want on
2:01 um I think on all of the plans in Check Cherry. Um it's only admins that that do have a limit. So, uh, feel free, you know, if you've got people working with you, it's a great way to make sure everybody's on the same page. Um, couple things to call out real quick before we move on to the new stuff is, um, permissions because this comes up a lot. Um, you know, by default, all you have to
2:21 do is check the staff box and you're good. You'll be able to assign people to a booking. Um, if you need to give them a little bit extra permission, that's where the extended permissions come in. So, somebody with extended permissions, um, basically what that lets them do is see pricing and messages. So, um, just worth keeping in mind, you know, do you want them to see pricing? Do you
2:42 want them to kind of have access to everything or do you want to keep things more minimal? And then the other one that comes up a lot is if you want to allow people to see all bookings or otherwise they just see the ones they're assigned to. Um, and then we have this kind of for some people we'll have like a sales type of role that's a little bit outside of that. But, um, feel free
3:00 to just kind of start with the most minimal and and expand from there. Once you do that, um, what you'll see is over on the right, you'll see a little panel. When you go into any of your bookings, you know, under sales bookings, if you select a booking, you'll see a a panel on the right where you can assign your staff. And so, that's, you know, largely unchanged. Um, now you
3:21 can, you know, when you add staff, um, you can, you'll see a couple things. Um, we'll continue, you know, you can so choose from your existing staff. You can, um, you know, there's nothing new here, Matt. Come on. Where one new thing you'll see from from the bat from off the bat is uh the, um, arrival time. So, you'll start to see an arrival time um, uh, field now. And so,
3:47 um, so that's one of the first, you know, one thing that people have have long requested. Um, right now this is a a manual field. Um, I imagine we'll have some kind of a setting to say, "Hey, I want my staff to arrive there two hours before" or something like that. But for now, it um it's just manual. Um, if you don't set anything there, it's just going to pull from the event time. Um,
4:07 but if you do need to set it to something, um, you know, something else, uh, that's now an option. and then you assign them and boom, you know, same as before, they'll get that email, they'll get that notification. Um, if they've got the app, you know, they'll be able to show it in the app, they'll get a push notification, things like that. So, what's a little bit different now though is
4:28 um, you know, we've always supported uh, multi- package bookings. So, that could be something like, hey, I've got a photo booth plus DJ or maybe I've got two events but on different days. you know, maybe I've got a July 30th and a July 31st. So, um, let's create that real quick. And now we've got, you know, two events. We've got on this Thursday and then we've got this Friday. Um,
4:54 historically in Check Cherry, you know, you would just have your staff assigned to the entire booking. Um, sometimes that's fine, but sometimes it's not. So now what you can do when you're assigning people if it has multiple packages on it you'll see a a little check check boxes and we didn't want to add a bunch of extra work you know if if the old way worked fine great you know you
5:16 can pretty much you know same number of clicks but if not you can now kind of go in and customize it and you can say hey this is um I'm going to assign Dax here only for Friday and um then he won't you know he won't be able to uh he won't be getting assigned to both of them. He'll just be assigned to that Friday event. And so we'll hit that and um we're good to go. You can also um obviously
5:44 update existing clients. And so if you go to um a lot of this stuff is under the staff actions. Um if you go to the staff actions and change your staff now, you'll see a little bit more of a a bulky screen if if you do have multiple packages on it. And basically what it's showing now is how um who's assigned to which day. So we've got this Matt demo account. I'm on both. Uh Jasmine's on
6:07 both. And then Dax is only on one. So um maybe I want to edit that. I can come in. I can change that and just assign her to the Thursday event. I've got our first question. Yep. From Richard. Is the arrival time linked to automated messages so we can send out an automated email when the attendee will be arriving? Yeah, so a couple of things. Um the uh there is a token um I guess
6:34 there's not really like a a trigger per se, but there is a token based on that. So what you can do is in that confirmation, you know, the day of or the day before, um we do have a a token you can use for those. Um, and then if you have that message going out to multiple staff, basically how it works is each assigned staff kind of gets their own copy of the email, which means that we're
6:57 able to give them just their, you know, their actual their their uh personal arrival time. Um, the other thing that comes up with this is Google Calendar. So, if they do sync to Google Calendar, um, if you know if if the arrival time is the same as the event time, nothing's really going to change. it's going to look the same. Um, but it's a little bit tricky with Google Calendar,
7:20 right? Because we don't want to like lead to confusion as to when the event starts versus when they should arrive. And so what you'll see in Google Calendar is uh is a uh two two entries for the event. So you'll see the actual event from, you know, 1:30 to 4:30 and then you'll see the arrival um that hey, they're supposed to arrive at 12:30. So you'll see kind of a they'll
7:42 see kind of a separate uh Google calendar item on their on their Google. So hopefully that that um you know avoids kind of ambiguity as to arrival versus um versus event time and things like that. Um and uh yeah, and so obviously, you know, you can come in, you can change, you can um you know, set different arrival times if something needs to, you know, you need to go a little bit earlier, um
8:09 you're able to change that at any point. And just to be clear, if I have a if I have something with just one package and one staff member, the only thing I'm really interested in is maybe I can put an arrival time in there if that's important. Yep. And that being set per event. So, you wouldn't need all this if you're just doing one package, one person. Um, these features that he's talking
8:30 about primarily other than the setup time or the arrival time is related to multiple packages with multiple staff members and different arrival times and different dates and their calendar, all that stuff. Just to make trying to make that really clear. Absolutely. So, yeah. So, if you're um if you're on a single, you know, if your your event only has a single day and time, you know,
8:52 it's simple, works pretty much the same as before. Um the only change is now you'll see the optional arrival time. And so, um you know, like I say, feel free to leave it. You know, if if that's not useful, you know, you certainly don't have to use that. Um nothing will change. You know, if if you just kind of leave it as the the the default, um you know, that's great. But if you uh if you do
9:13 want to set that, that can be helpful. Gerald has another question here. When you add when you add staff to an event, will the push notifications show the arrival time? Right now, it will send the role with for the booking. Will it send both fields? I do not know. Yeah, I'm not sure on that. Sure. Um um but um yeah, the push notification should take you to the event, which should show

Um, but yeah, we're certainly, you know, if you try it out, if it doesn't doesn't have, you know, doesn't uh doesn't quite work for you, you know, we're we're certainly open to to Yeah, it's good feedback. Of course, you can use the SMS or email to get whatever you want in there. And the setup time is an option. Yeah. Yeah. And for the um for the uh the emails, um we're not modifying
10:02 your existing email templates, you know, we don't like to do that. So, you'll just want to revisit um you know, if that is something important. um you'll want to look for your staff assigned to booking email. Um you probably have one in your account and if not it's it's easy to add one and if you edit that um you want to add that um staff arrival time token. So once you add that you know
10:25 um then they'll know uh what what time they should arrive and that'll show up you know that'll always show something you know it'll either be the event time or if you set it to something else uh it'll be that other time. So, um, so hopefully, you know, hopefully pretty pretty simple. Um, and should be backward compatible. You know, if you've already got events,
10:44 uh, that you've assigned people to, you know, there's not nothing change changes retroactively, but you are welcome to go in and edit and update and reassign people to only work, you know, one of the packages or something. Okay. Anyway, so yes, Richard, there is the token staff arrival time. You can put it in there. He says, "I get a lot of clients, I get a lot of emails from clients
11:02 asking what time we will be there. Totally makes sense. Um, and then got another chat from Carrie. If you have multiple packages at one event like DJ and photo booth and assign your staff separately, will they be able to see the other package or or only what they are assigned? Only what they're assigned to. Yeah. Yeah. It's kept um Yeah. Just basically just the uh the details of
11:26 what they're assigned to. So, is that good Carrie or bad? Sometimes we don't know. Yeah. Make these decisions. Like I I would assume, you know, I could see I could see cases for both. I'd be kind of curious if you like that or not. But they just see what they're assigned to. Yeah. Um we may show both if they have extended permissions. Um that's I'd like to be able to see. Yeah. So yeah,
11:51 I think if they have extended, we let them see um most stuff on it like most stuff that an admin can see and then if if it's only their own. Just a reminder, Czecherry has a nifty feature where you can impersonate a staff account. So you can see uh what they see. So you can use that impersonate that person. Go in. Super helpful for finding out and understanding how your staff or clients
12:16 experience your client portal. Yeah, exactly. So you can either find that under the user account, manage users, or uh if you're already on a booking, you can do it right from there, too. So chat with us. You know, we like feedback. it's not working as expected, just let us know um and we'll take a look and take it into consideration. Um and then um you know the various availability stuff
12:39 is going to take all this into account too. So if you've got somebody assigned for only Thursday now um obviously the availability is going to kind of keep them you know considered free uh for for a Friday event you know. So, if you've got somebody um um you know, if you need to kind of juggle things that that should um it should show up. And basically what how it works is
13:00 when you assign people um you can kind of see who's already assigned to something. You know, these people are already assigned. Um you know, this person is not available. And so, uh all that all of that remains as well. Um and so I got more. Dylan says, "Is there a way to send an automated monthly staff reminder uh asking for them to update their availability?" And Dylan, the answer
13:24 is no. And I think you're the only one who's asked for that, just as a heads up. Totally get it. You could probably create a message and just manually send it to all staff, but the concept of sending a recurring email to staff member does not exist in check at the point at this moment. Um, so but like I say, you could have a, you know, a message on a dummy booking and just click send or
13:49 something like that. Um, that would be something that would work. You could have them connect in their Google calendars for availability. I think that would also work as well. Um, but you can't do it now. Yeah. And then Richard's not seeing the token. Richard, maybe just chat with us and we'll take a look. U, it has been rolled out. Matt's on the production servers. Um, maybe. So, one thing
14:11 to keep in mind that is staff arrival time. So, with customers, I don't know if I rolled it out to the general booking one. This would be like like for the staff that's arrived to it because it's not entirely clear what that would be if you've got like multiple staff or things like that. Um, so it's poss Yeah. So, I don't I don't know if if you can do it on like if you're trying to send
14:32 that to the customer that would Yeah, you sent Yeah, he wants to send it to the client. Okay, that's good feedback. Yeah. So, Richard, good feedback. Yeah, we'll take a look. it's not there. Um, yeah, like I said, I'm not sure what that would look like with multiple staff. It gets a little weird with with some of that stuff. So, um, but yeah, and so we talked about arrival time. Um,
14:53 I think that's pretty straightforward. And then couple of, uh, new features. So, in Check Cherry, uh, I would say the most common setup is that admins or business owners basically are assigning staff themselves. you know, you've got a list of staff, you kind of know who works things, you assign them. Uh, but we do support some different modes. Um, and how that works is if
15:16 you go to manage packages, uh, go to like one of your services, like say I click this photo booth service or my DJ entertainment service. Um, either of those, uh, you'll see some staff settings at the bottom. Um, you know, some basic stuff. What do you call these these type of staff? Um but what's more useful is there's a few options around um automatic uh kind of allowing staff to
15:41 request or to directly work bookings that you'll see in there. So those settings continue to be under under that service level. Um you know this is an existing setting allow customer to choose from available staff. So if you have um you know if your staff is something that you know like like characters or uh you know you've got different kind of Yeah, DJs, things like that. Bilingual,
16:07 that sort of stuff. Yeah, you might. He loves that feature. All caps. Awesome job. Nice. Yeah, you can also, if you're a solo op or you've got like one person that does all of your, you know, like maybe one person does all your DJ events or something like that, you can automatically assign a staff member too. Um, that one's not, like I say, mostly useful for kind of like solo ops,
16:31 but um, occasionally useful. Um, and then for for this webinar, um, this one's worth discussing. So, this is allow staff to request bookings and then kind of similar, allow staff to claim bookings. Um, what that does is that allows your staff to outright, you know, like choose to work at event themselves rather than um, you know, rather than you having to assign them. So,
16:57 to me, this is like a a staff trust level. If you really trust, you're a small team and you're like, "Dude, just claim it. I don't need to approve it. Whatever. It's fine. If a booking comes in, whoever can get to it first that wants to work it, go for it. I trust you guys. You know, another one is like, hey, I actually want to approve it or that type of thing. Yeah. So, um, so I think claim
17:18 is pretty self-explanatory, but let's set it to request and see what that does. So, what that does is a couple things. Um, it now means that your staff need a way to see the unassigned bookings. And so we had a few items in here that were kind of related to staffing. Um we've added some stuff and kind of merged it into a little like staff dashboard or staffing overview if you're on the
17:40 web. So um so now when you go to sales you'll see staffing. We might make a few more tweaks to this but um but you'll see something along these lines. And the first thing is you'll see a list of unassigned events. And these are bookings not yet claimed by any of your staff. Um, I don't have any set up data. Yep. Should have been prepared. Um, let's take off this guy.
18:10 It should do it. Okay. So, um, so this is kind of along the lines of, you know, this is something your staff are going to see too, right? Like they're going to be able to see what what unassigned bookings you have. And it's a fairly minimal view. you know, they can see the package, the date, the time, the location, so they know if it's something they can can make or not. And
18:31 as a staff, what they can do is they can request a booking. Um, you'll also see in the top right now this uh little badge here, zero zero of one spot filled, and we'll come back to that, but that's a new feature that that is helpful. So, your staff now, they can come in, they can request it, you know, are you sure you want want to request this booking? And they'll see something like this. you
18:53 know, your request for this package is awaiting review. Um, and then now as the admin, uh, you can see, um, all of the ones that have been requested now. So, either from the the overview, you can see which ones are unassigned still, or um, and this one remains unassigned because you haven't assigned anybody yet, or you can see the requested ones. And so now that somebody's requested it,
19:17 um, in this case myself, I can see, oh, we've got one request outstanding. And as you start to get a few people requesting, you know, maybe you want to wait, maybe you want to, you know, just take a look at it right away, however you kind of want to handle things. Um, but once you view that, uh, what you can do is approve or reject this. And so I can approve it. I can, um, delete it,
19:39 you know, things like that. Uh, jump straight to the staff profile, stuff like that. Um, one thing that's kind of cool now is you can also, you know, sometimes you need more than one staff for an event. And this was kind of a pain point for a lot of people. So, if I go to this um this max uh max event here, I can also come in under the booking settings and say, hey, I need like two
20:07 staff or three staff for that that uh particular um for this package. And once I do that, now my um now that badge is going to be updated. And so I can say, oh, I've got, you know, I'm still waiting on three. And so now when I approve this, they're assigned. Everything's good to go. But I still need two more slots. And what's good about that is um under the staffing thing, it'll still show up
20:33 as unassigned. So previously that was a bit of a pain point for people where, you know, I'm waiting to hear like I need I need three spots, but as soon as I assign somebody, it kind of goes away. So this way you can start assigning people and you know, treat it first come first serve, you know, pick who who you want, however you want to handle it. and we'll keep track of that. You can also
20:54 um you know, obviously it's a little annoying to go and and set that on the package every single time. Um you know, I can can if I need to if I want to overwrite it, but otherwise um probably more common is to set that on the package level. So because my photo booth service has, you know, has the claim features, uh now under advanced, I can say how many staff are required. So I can bump
21:16 that up and now every time somebody books one of these basic um C charity knows that hey you need three staff for that not just one and so um so it's kind of helpful to keep track of of you know what you're waiting on and things like that. Um and that'll apply to both the claim and the the um the request feature. Uh you can say hey you know people can claim it but I still need like
21:41 three people to claim that event or something. And then that way you can um you know keep keep uh keep track of it. And similar to the you know how the assignment works where it's now on the package in addition to um instead of the entire event uh that claim event will feature will work that way too. So somebody can you know request to work just that July or uh they can request um both days if
22:06 they're free both days and you can approve those individually as needed. Nice. So again like just the the theme is more advanced staffing stuff is really what this comes down to like Check Cherry staffing stuff was already pretty solid assigning people the you know the the common cases that most of our customers see but we get feedback from people that have more complex bookings operations
22:32 etc that they want these features and so that's kind of where we're at. Yeah, exactly. So couple other things landed in this too. So, under manage business settings and availability, um we've always had this setting to control whether uh time off requests uh from staff require admin approval. So, if you do have your staff come in and enter their um their time off, uh kind of the
22:56 default setting in check cherry is that we just, you know, we assume that that's fine. You know, they're going to be they're independent, they're, you know, they're a DJ, they're, you know, they're available or they're not. Uh, but some people run a little bit um, you know, keep things a little bit tighter and it's like more of more of a staff, you know, an employee relationship where it's
23:15 like, no, you can't just like take the time off. You need to let me know so I know what's going on. Um, if that's helpful, you can change this setting to yes. And what that's going to do is now anytime somebody tries to put in a a time off, um, they're able to put it in, but you get a chance under the staffing dashboard to see that. And so you can see all of your pending time off requests and approve
23:37 them. Um you know reach out to the staff if that's a problem. Um handle that how you need to. Uh that's an existing feature but but um main changes you'll find that under that staffing dashboard. Now uh we've also got this um new feature. So, uh, a request we would get from time to time is that, hey, you know, I I assign my own staff. You know, I assign staff to the event, but I need a step for
24:04 them to approve it. You know, I don't know if they're actually available when I assign them. And so, I need to give them a chance to approve or decline that assignment. So, uh, that feature landed in this update as well. Uh, if that's useful, um, basically how that works, you change that to yes. And now from now on when you assign somebody to an event, what's going to happen,
24:30 we'll assign L here is instead of treating it as assigned, it's going to have this awaiting response flag. And basically what we're waiting on now is for L to say yes or no. You know, follow up like, hey, is that okay? Does that work? and from within her account, you know, from um uh from the app, from the web, she can approve or decline that. Um and then one last
24:56 setting that you'll see now too is um from time to time we would have people say, "Hey, I've got staff and I need to have them check in when they get to an event or I want like kind of a time tracking solution where I can kind of keep track of of how long people are working for me or things like that." So, we've also added that in that same place, too. Um,
25:17 under those availability settings. So, it says let staff check in and out of events. If you change that to yes, then um there's a new uh new kind of check-in checkout feature for staff as well. So, um to see some of these things, let's log in as as Jasmine here or uh maybe uh let me go into El's account actually since she's got um let's see. Oh, L's an admin. Um let me take off the admin
25:51 permission of L. So in check cherry one thing to kind of be aware of you can log in as staff but for admins we you know um generally speaking you would need to uh you know admins kind of have you know you can't log in as each other and make changes. So, so I'm going to log in as L here and um kind of the first thing you'll notice now is because I've got that new setting to
26:18 uh to require approval now it you know bright first thing she sees in first thing she sees when she logs in is a new prompt at the top saying hey these assignments are awaiting your response and she can accept decline or view it can't do it. Yep. Richard says, "Can you do automated reminders for staff to approve events? Some do not respond quickly. So, if they have outstanding
26:42 uh awaiting your responses, if you will, can you send an automatic email or text?" Um, I think so. I forget what all we what all landed in in this on the automated message to be honest. Um, I'll take a look. We'll take a look at the automated message. It was a It was a big update. You would not surprise you would be surprised at how big of a change a lot of this stuff was. So,
27:02 high five to Matt. he did most and uh so we'll get back to you on that. Yeah. Anderson says, "Does the check-in checkout feature track hours?" So I guess you can touch on that later, I suppose. Yeah. So we'll we'll take a look at that. So the assignment now is is real simple. You know, I can accept it. And great, you know, I'm I'm ready to work. Everything's good there. Um you'll also see
27:24 this kind of badge showing unassigned bookings. So we want to make it a little bit easier to find um you know, anything that hasn't hasn't been requested yet. So she can come in, she can request um to work whichever ones and um you know and now that's as the admin that's on you to to approve or decline. And then um and then the last thing is this new uh check-in things. So,
27:49 um, one thing worth mentioning, uh, so when you go to an event, uh, to any of the the bookings, um, right now I'm not seeing it because this is for July 30th, and so I generally as a staff wouldn't be checking in, but if this event was today, I would show a big prominent check-in option at the top. The staff can also uh, go into this uh, staff check-ins option on the left here. Um, and because
28:16 we don't from there, we don't know which booking they're checking in for. Um, they can check in there as well. Um, if you want to use it more as just kind of a time tracker, you don't necessarily need to to uh to choose a booking either. Um, but kind of how it works with the check-ins. Um, you know, I can check in. I can optionally choose a booking if if that's applicable. And then I can
28:37 leave a note, you know, if there's any kind of note, you know, hey, I'm here. I'm, you know, arrived. Whatever the case may be. um they can leave that if you want and then they can attach uh leave attachments as well. So, one request that you know we got is like some some people like to uh take you know have their staff kind of take photos you know um at the event prove you were
28:57 here. Yep. Exactly. So you get there, take a photo, whatever. Um we do uh capture the location. Um, so it's going to prompt them to uh to collect the location so they can, you know, allow this time, allow while visiting the site um if they're on the browser. One quick heads up, the app version will track location um that's going to go through app review. So that that's going
29:24 to take a few days, but um that'll be coming very soon. Uh for now in the app, they can check in and check out, but it won't get their location yet. So there for Richard and Gerald, they had those questions. So it's on the app, not the location. It's got Yeah. The um you'll also see now like, you know, if I'm on that check in checkout page, um I can say, "Hey, I'm checked in. Um you know,
29:48 this is in progress." And um obviously I can check out if I'm done, but uh one thing that's kind of helpful is I can also leave status updates. So if I'm like, "Hey, I'm done with setup." Um you know, I can take a photo. uh and do that and just log a status update. Um and now as the uh the admin, I can kind of see that history like, oh, you know, they got here, they, you know,
30:12 put the test message in, they're done with setup, um things like that. And then when everything's all done, you know, end of the event, they're ready to to leave, they can check out. And again, we'll we'll track that location. Um and now, uh you know, you can kind of see that history. So, they checked in at 7:30, they checked out at 7:31, and they worked, you know, 1 minute. Um,
30:34 obviously, as the staff or as the admin, uh, you can see this stuff as well. So, um, let's switch back to the admin account, in fact. So, now under staffing, um, because I've turned on all those features, you know, I've I've got all of these boxes here now. Um, I can see who's awaiting response, awaiting my response, you know, time off requests, all that type of stuff.
30:55 Um, if I go to the booking, um, let's see here. We should add a link to the booking there. But if I go to I think it was this one. Um, I can see a couple ways you can get at this. I can see all of the check-ins here. So, um, I guess I'm on the wrong one. Maybe it was this one. I don't know which one it was, but um anyway, uh from a from an event, you can see all of the the
31:27 check-ins um you know, if you need to. Um and then we obviously have reporting it for that as well, too. So, under sales reporting, um you can view the staff check-ins and see um for a date range and filter and download and all that type of stuff. So, I can basically say, hey, for last week or this week or something, um you know, what who all checked in? um what were the check-in times,
31:52 all that stuff. Um I can filter it to staff if needed as well. So that can be helpful. Um so hopefully hopefully it makes it reasonably easy to kind of get some of that that you know time data um and figure out how you uh you know for that. So then Richard also asks is all this all is all this info available through the report the reports and so um yeah so uh if you come across things
