After a client books online or accepts a proposal, they get a login to your portal. It is where they sign, pay, plan the event, and check details without calling you. If a client cannot get in at all, see how do I invite a client to log in.
The booking page
Signing in lands a client on their dashboard, which lists their upcoming and past bookings. Clicking one opens the booking page, and that is where nearly everything happens. Tabs run across the top, and clients only see the ones that apply to their booking.
- Overview: the booking at a glance. Date, times, venue, the package and add-ons they bought, and their contract. This is where they sign.
- Questionnaires: planning forms and song playlists. Appears once you have assigned one to that client.
- Designs: appears when the booking has designs. Clients pick templates, approve artwork, and request revisions.
- Checklists: appears when you have assigned a checklist to that client.
- Make Payment and Invoice: pay a balance, and view or download the invoice.
- Attachments: any files you have attached to the booking.
Make Payment and Invoice both hang on one per-person setting: Allow this customer to see pricing? on the booking's client panel. Turn it off and that person loses the money side of the booking. That is how you give a parent or a wedding planner the planning forms without showing them what anyone paid.
Changes clients can make
Clients can optionally edit their own confirmed bookings, add and remove add-ons, and cancel. Visit your change policy settings to control this setting.
The rest of the portal
There are a few other features outside of the booking that can be useful.
- Dashboard: upcoming and past bookings, with their profile alongside.
- My Profile: clients update their own contact details and manage saved cards.
- Documents: appears once you have uploaded at least one document. Useful for including a W-9 or proof of insurance document
- Refer: their referral link. Appears when you have enabled referral tracking enabled
- New Booking: drops them into online booking to book you again.
The portal is the client's side of a user account. For your side of the same record, contact details, saved payment methods, tax exempt status and the rest, see user accounts in Check Cherry.
