How do I set staff arrival times?

Sometimes your team needs to be on site before the official package start time. An arrival time is when you expect a staff member to show up for a particular package.

Setting an arrival time

Arrival time is always per package. When a booking has more than one package, the form shows a row for each with its own arrival field, so someone working two of them can arrive at 8:00 AM for one and 4:00 PM for the other.

Where arrival times show up

  • The Staff panel on the booking
  • The roster on the booking's Staff page
  • The staff member's own booking card
  • Their calendar, as a separate entry

Arrival times in messages

You can use the {{staff_arrival_time}} token to include the arrival time in applicable automated messages.

Arrival on the calendar

An arrival shows up as its own calendar entry, separate from the booking, titled Arrival: plus the booking name. On a package with a start time, that entry runs from the arrival time to the package start, so the staff member sees the setup window and the event itself as two blocks. On a date-only package the entry is one hour long. If an arrival time is not earlier than the package start, no separate entry is created.

Which syncs carry arrival entries

  • Personal Google Calendar sync: yes, your own arrivals.
  • Personal calendar subscription (ICS): yes, your own arrivals. This includes the All bookings feed, which still shows only your own.
  • Company Google Calendar sync: no. The company connection is not tied to a person, and a single booking can carry a different arrival time for every staff member on it.
The company sync does not list arrival times anywhere, including in the booking notes. Use a personal sync when you need them on Google Calendar.

If you are the only person on your bookings

Set up a personal sync to get arrival entries on your own Google Calendar. Running a personal sync and a company sync to the same Google Calendar creates duplicate booking entries, so turn the company sync off first.

Go to Calendar and click Subscribe to Calendar.
In the Google Calendar card, find Company Sync and click Edit Sync Settings.
In the Sync to Google Calendar card, set Confirmed Bookings to Do not sync.
Click Save.
