How do I assign staff to a booking?

Check Cherry makes it easy to assign staff to your bookings. You can assign as many staff as needed to work a booking, and individual staff can be assigned to just certain dates or packages within a booking.

Assigning someone

Pick the person under Staff Member. Their availability for this booking shows next to their name.
Set the Role for this booking.
If you have multiple packages, you can choose which packages they are working under Package Assignment.
Set an Arrival Time if you need them on site before a package starts.
Click Assign Staff.

As you pick someone, Check Cherry checks them against the times of the packages on this booking. You will either see Available or a red badge naming the problem: they are already assigned to another booking that day, they have a blockout date, the day or time falls outside their weekly availability, or their connected personal Google Calendar shows them busy. It is a warning, not a block. Assign them anyway if you know something the calendar does not.

The Staff page

Each booking has a Staff page showing one card per package. A card lists the people assigned to that package, anyone who has requested it, and a badge for how many of the needed spots are filled.

The badge reads something like 1/2 filled and turns green once the package has everyone it needs. You set that number per event type and can override it on an individual booking, which is what keeps a half-staffed package visible to your team instead of looking done as soon as the first person is on it.

Roles

The role field starts filled in with the staff title from the package's event type, so a photography package might arrive pre-filled as Photographer. Change it to whatever fits this booking. The role shows on the roster and on the staff member's own copy of the booking.

Changing or removing someone

Every row on the Staff page has an Edit button with a dropdown beside it:

  • Edit to change their role, which packages they are on, or their arrival time
  • View Staff Profile to open their user account
  • Remove to take them off the booking entirely

Arrival times

Each package has its own arrival time, so you can ask someone to be on site for setup well before guests show up. Leave it blank and the package start time is used. Arrival times show on the roster and on the staff member's booking card, and they sync to their calendar as a separate entry from the booking itself.
